We are searching for a values-driven, organised, and caring Administration Officer to join our Client Care Team in a full-time role (4 days will be considered). This position is all about making sure the day-to-day running of our clinics is smooth and efficient, while supporting our team of Occupational Therapists and the wonderful families we serve. You’ll be primarily based at our North Lakes and Brendale clinics, working across both sites to keep things running seamlessly.

About the Role
You will be:
Greeting clients and providing a welcoming first impression.
Answering phone calls, emails, and general enquiries.
Completing intake calls to gather information about parental concerns and client needs.
Managing and scheduling client appointments using practice management software ‘Splose’.
Coordinating therapist calendars and handling scheduling changes.
Carrying out invoicing tasks, including issuing and following up on overdue accounts.
Keeping client files accurate and up to date
Supporting colleagues by answering questions and being approachable when needed.
Contribute to reviewing and improving NDIS and Medicare compliance systems, processes, and documentation standards
Assist with developing and delivering training for new or less experienced team members in NDIS and Medicare procedures
Implement and maintain NDIS and Medicare documentation requirements
Report to the office manager, handling other administrative tasks as directed.
Keeping the clinic space tidy, professional, and inviting.
About You
Key Capabilities
Qualifications and Experience (our ‘must haves’)
Experience working in admin or reception roles, ideally within a healthcare or allied health setting.
Experience with invoicing and financial administration tasks.
Strong skills in scheduling and diary management.
Familiarity with practice management software.
Previous experience engaging with children and families (desirable).
Knowledge of the NDIS and Medicare (desirable).
Current QLD Working with Children Card (Blue Card) or willingness to obtain.
Willingness to undergo a police check.
Current driver’s licence and access to a vehicle.
Knowledge and Skills
Excellent written and verbal communication skills (confident on the phone!).
Strong attention to detail and accuracy.
Able to manage multiple tasks at once, prioritising effectively.
Tech-savvy and adaptable with new systems and tools.
A team player who contributes to a supportive environment.
