The role
This role ensures the facilities management of Incolink's head office building and all corporate administration activities function smoothly and efficiently. The role also manages the motor vehicle fleet, tenant liaison matters, staff car parking and coordinates internal staff committee meetings.
Responsibilities
Actively manage the ongoing positive relationships with workers and employers by:
Oversee facilities management activities and plan and project manage building improvements and maintenance work.
Ensure office configuration and space requirements and contemporary and fit for purpose.
Manage building security provider, be first responder on security issues, and coordinate building access for external stakeholders
Oversee motor vehicle fleet, pool car bookings and staff car parking.
Ensure office and amenities and suitable and WHS compliant.
Provide general administrative support of the Executive when required and assist with the planning and organisation of internal/external events.
Manage office administration expenditures and manage the budget.
Manager security card issuance in conjunction with IT department and liaise with same on staff equipment issues.
Maintain policies and procedures for office/building administration and assist with onboarding of new staff.
Skills / Experience
The ideal candidate will have:
Excellent written and verbal communication skills
Keen attention to detail and time management skills
Full drivers licence
Appropriate certificate courses (ie Fire Warden & OHS) or ability to obtain
Ability to organise and set priorities in a diverse and changing workload
Project management experience, preferably with facilities projects
Office administration experience
Demonstrable discretion and confidentiality skills
Flexibility with work hours as required to key building/facilities management tasks.
