About the Role
As a CSR & Office Assistant at Friendly Plumbing, you will play a crucial role in ensuring the smooth and efficient operation of our office on a day-to-day basis. Working closely with our office and operations manager, as well as our Sydney-based trades team, you’ll handle a wide range of administrative tasks, manage incoming and outgoing calls, booking jobs, invoicing, liaising with customers, and provide support to both our clients and employees.
Excellent phone skills are essential, as you will be the first point of contact for clients. This role also requires strong organisational skills and the ability to update and manage multiple live platforms online.
Key Responsibilities
Answer incoming calls promptly and professionally, addressing inquiries, booking appointments, and providing job updates.
Assign service calls to technicians based on skills, location, and availability to maximise efficiency.
Coordinate and schedule jobs using our work platforms (ServiceM8, SMATA, and ServiceTitan).
Invoicing & quotations.
Conduct follow-up calls to check on customers satisfaction, provide reports when requested, and to follow up on quotes provided.
Communicate effectively with technicians and team members to ensure smooth operations.
Identify opportunities to recommend additional services or products to enhance customer experience.
Answer phone calls, take messages, and direct inquiries to the appropriate personnel.
Update platforms with client and contact details, site information, and other records.
Support various administrative tasks as assigned by the operations manager.
Manage and organise office files, documents, and records virtually.
What We’re Looking For
Experience in customer service, administration, or dispatching is advantageous (plumbing/trade industry a plus, but not essential).
Excellent verbal and written communication skills with a friendly and professional telephone manner.
Strong organisational skills and ability to manage multiple tasks in a fast-paced environment.
Good computer literacy – familiarity with Google Workspace (Gmail, Docs, Calendar) and Microsoft Excel.
Experience with ServiceM8 or ServiceTitan is highly desired.
A problem-solver with a customer-first approach.
Team player with a collaborative mindset.
Ability to multitask and prioritise in a fast-paced environment.
High attention to detail and accuracy in all work.
Quick to learn, proactive problem-solver.
