We are seeking an organised, proactive and professional Executive and Operations Coordinator to join our newly fit-out Sydney head office in the Sutherland Shire. This is a varied, hands-on role supporting our directors across business, operations, property and community initiatives. It is ideal for someone who enjoys being the trusted “go-to” person in a dynamic environment and thrives on juggling priorities while keeping everything running smoothly.
About the role
This role combines executive assistance, office management, HR administration, property and tenant coordination, and events. You will work closely with our directors, providing day-to-day executive support, managing diaries and correspondence, preparing board packs, organising travel, and overseeing key administrative and operational functions.
You will also play a lead role in ensuring the smooth running of our office and reception, managing stock and amenities across our offices in Australia, New Zealand and Singapore, and coordinating corporate events, workshops and company functions. Working closely with tenants, suppliers and contractors, you will also help manage Century’s property portfolio.
As part of our expanding business, you will be exposed to HR, finance and legal processes, supporting compliance and onboarding, assisting with system rollouts, and helping embed best practice across our group. After an initial six-month settling in period, you will have the flexibility to work from home or from other Century offices as required.
Key responsibilities
Provide executive assistance to the directors including diary management, correspondence, board packs and travel
Assist with email account management for the Finance Manager across business, private, volunteer and board roles
Manage reception and front of house duties, ensuring visitors and callers receive professional service
Oversee office operations including stock, uniforms, amenities, supplier accounts and shared spaces
Coordinate corporate events, workshops, conferences and team functions
Assist with HR records, onboarding, compliance and safety systems including BrightHR and BrightSafe
Support the rollout of operational systems including CartonCloud, SafetyCulture iAuditor, Xero, and Linxio Fleet Tracking
Liaise with tenants, suppliers and contractors across Century offices and managed properties
Ensure administration processes are rolled out, implemented and kept up to date
Host and support overseas visitors and provide assistance for directors’ community and volunteer commitments
What we’re looking for
We are seeking an individual of good standing, committed to maintaining the high standards expected of a business with Australian Trusted Trader status. You will be:
Highly organised, proactive and able to multi-task under pressure
A strong communicator with excellent written and verbal skills
Professional, approachable and confident dealing with people at all levels
Detail oriented, with the ability to prioritise and manage competing demands
Comfortable working both independently and as part of a close-knit team
Trustworthy, discreet and reliable when handling sensitive information
Experienced with Microsoft Office; exposure to systems like Xero, CartonCloud, BrightHR, or SafetyCulture is an advantage but not essential

The details
Full time role, Monday to Friday, 8:00am to 4:30pm
Based in Caringbah, Sutherland Shire, Sydney
Occasional travel to other offices in Australia, New Zealand and Singapore
