Listing & Sales Administrator – New Mosman Park office

We’re seeking a proactive, forward thinking and detail-oriented Listing & Sales Administrator to support our Mosman Park team and play a key role in taking properties seamlessly from listing to settlement.

The Role

This role is the backbone of our sales operations. You’ll be the welcoming face of the office while ensuring every listing and contract is processed with accuracy, compliance and care. From preparing new listings, managing marketing campaigns, and coordinating vendors, through to contract administration and settlement, you’ll keep everything running smoothly behind the scenes.

What You’ll Do

Coordinate the full listing process in Zenu, including compliance checks and document uploads.

Order searches, forms and signage, and manage suppliers (couriers, boardroom bookings, etc.).

Launch and track vendor campaigns, funding agreements and follow-ups.

Process sales contracts, deposits and variations, ensuring key dates and reminders are diarised.

Liaise with agents, PAs, vendors, buyers and settlement agents to keep every file on track.

Maintain clean and compliant records, issuing settlement notifications and finalising files.

Platforms we use everyday office365, Zenu, REA, Domain, REIWA, Active Pipe, Campaign Track & Property Tree

About You

We’re open to a range of backgrounds — this role could suit someone with customer service skills who’s ready to step into real estate, or someone with existing real estate knowledge looking to deepen their career. What matters most is that you bring:

Strong organisational and multitasking ability.

A sharp eye for detail and a sense of urgency.

Great communication skills with a professional, approachable manner.

Confidence using technology and learning new systems.

A commitment to consistency and follow-through.

Real estate experience or a current registration is a bonus, but not essential.
