White Sage Aesthetics is seeking a superstar Receptionist & Front of House Coordinator to be the warm, professional face of our clinic — the one who ensures everything runs seamlessly behind the scenes while clients feel cared for from the moment they arrive.
About the Role
This is not your average receptionist role. We are looking for someone who:
Has previous experience in reception, beauty, or a client-facing role (clinic or wellness environment highly regarded).
Is highly tech-savvy and confident navigating booking systems (experience with salon/clinic software is a bonus).
Is savvy with social media — able to check client messages, assist with posting, and ensure our digital presence reflects our brand.
Has excellent time management and organisational skills — you’re always two steps ahead.
Thrives in a busy environment, juggling priorities without breaking a sweat.
Can problem-solve quickly and independently while also working seamlessly within a team.
Has a positive, bubbly personality and genuinely loves people.
Is an exceptional communicator — both in person and over the phone/email.
Has a sharp memory for detail and a knack for making clients feel recognised and valued.
Is self-motivated, proactive, and takes pride in supporting a business to thrive.
Shows genuine interest in skincare and wellness (industry knowledge is highly regarded).
What You’ll Do
Be the welcoming first point of contact for all clients.
Manage the booking system, phone, and email communications with efficiency and care.
Check and respond to client messages and online enquiries promptly and professionally.
Support the team with social media posts and content scheduling.
Cleaning and organising the clinic
Handle product orders, stock levels, and supplier communication with precision.
Ensure daily clinic operations flow smoothly and clients enjoy a seamless experience.
Support the team in achieving goals and creating a high-performing, client-centred environment.
Uphold our standard of excellence — being the reliable, detail-oriented glue that holds everything together.
