We are a boutique law firm specialising in tax, trusts, succession and estate planning, delivering high-quality legal services with a strong focus on client relationships.
We are seeking a motivated and professional Legal Administrative Assistant to provide vital support to our lawyers and ensure the efficient operation of our office.
Key Responsibilities
Provide general administrative support, including document and cost agreement preparation, data entry, maintain CRM software, filing and management of safe custody.
Manage client communications (phone, email, and reception), ensuring prompt and professional service.
Assist with organisation of business development events (webinars, seminars and other presentations, small cocktail functions), including booking venues, managing invitations and RSVPs, creating PowerPoint slides and organising printing of materials.
Coordinate meetings, appointments and travel arrangements.
Maintain accurate client data and assist with maintaining our document management system.
Prepare and format legal documents, correspondence and reports.
Maintain our knowledge database including creating and updating precedents to implement feedback from the team and improve functionality.
Support billing processes and invoice preparation.
Manage incoming and outgoing mail and couriers.
Assist with other ad hoc administrative tasks as required, including social media and website updates.
Skills and Experience
Previous experience in an administrative or receptionist role (legal industry experience highly regarded).
Strong organisational and time management skills with the ability to prioritise competing tasks.
Excellent written and verbal communication skills.
High attention to detail and accuracy to maintain high standards and ensure automated processes run correctly.
Driven, reliable, efficient and shows initiative.
Tech-savvy, with the ability to quickly learn and use multiple software platforms, such as Xero, Active Campaign and Canva. Knowledge of Asana and Pipedrive is highly desirable, but not essential.
Proficiency in Microsoft 365 (Teams, Outlook, Word, Excel, PDFs).
Basic social media campaign creation and digital marketing knowledge is preferred.
A willingness to learn, develop new skills and contribute ideas to improve the business.
Professional presentation, positive and client-focused attitude.
