We are looking for a switched-on, highly organised, and experienced lead medical receptionist to join on a full-time basis to take the reins of our operations from day one. This is an exciting opportunity to help establish and grow a practice from the ground up — your input will directly shape how we operate, deliver care, and delight our patients.

About the role

As our lead medical receptionist, you will be the backbone of EndoView. You'll oversee day-to-day operations, manage our small but growing team, and ensure that every patient interaction reflects our values of excellence, care, and trust.

You'll be responsible for:

Operational leadership

· Oversee daily practice operations.

· Coordinate appointment scheduling and clinical workflows.

· Manage suppliers and service providers.

· Identify and implement process improvements.

Financial & administrative oversight

· Manage Medicare, private health, and patient billings in an efficient, accurate and timely manner.

· Monitor budgets and financial performance.

· Handle stock control and supplier invoicing (radiology & pathology forms, scripts, etc)

Process creation & improvement

· Develop policies, procedures, and workflows.

· Ensure compliance with regulations and accreditation standards.

· Streamline systems for efficiency and scalability.

Deliver a Premium Patient Experience

· Act as the main point of contact for patients.

· Ensure all communication is clear, warm, and professional.

· Address concerns promptly and effectively.

· Maintain a seamless experience from first contact to follow-up.

· Triage all referrals within 24 hours.

· Ensure all email inquiries and calls (including missed calls) are attended to within one business day.

Staff management & development

· As our EndoView team grows, you will help recruit, train, and mentor team members.

· Set clear role expectations and performance standards.

· Conduct regular check-ins and performance reviews.

· Foster a culture of professionalism and empathy.

Supporting the principle specialist

· Answering patient inquiries and sending relevant information

· Chasing results and securing documents prior to patient appointment

· Work collaboratively in providing excellent patient care

What we're looking for

· Proven experience as a medical receptionist in a specialist setting.

· Minimum 2-3 years of medical receptionist experience in a specialist setting is required.

· Familiarity with medical software program Genie (highly preferable)

· Experience with Genie medical software is preferred, with training provided to enhance proficiency.

· Strong understanding of Medicare and private health fund billing.

· Exceptional organisational skills, with the ability to prioritise and multi-task.

· A people-first mindset — you're as comfortable with patients as you are with your administrative tasks.

· Proactive, solutions-focused, and comfortable making decisions.

· Australian citizenship or permanent residency is required for this position.
