Key Responsibilities:
Administration & Team Support
Assist with travel bookings, diary coordination, and team meeting logistics.
Prepare and distribute documents, presentations, and reports as needed.
Screen and respond to calls and emails, escalating when required.
Help plan and coordinate company events, conferences, and training sessions.
Maintain accurate client, supplier, and internal contact databases.
Support onboarding of new staff with IT setup, office induction, and stationery provision.
Assist with compliance documentation, filing, and record-keeping in line with company policies.
Prepare weekly or monthly team reports summarising key operational metrics.
Help maintain office equipment, including liaising with service providers for repairs or upgrades.
Assist with internal audits, ensuring records and processes meet company standards.
Provide ad hoc support to the CEO and management team, including research, document preparation, and project assistance.
Maintain office supplies, catering orders, and liaise with vendors for repairs and maintenance.
Logistics & Operations
Process and track sales orders in a timely manner.
Maintain and update operational spreadsheets on a weekly basis.
Assist with logistics for equipment, events, and vehicle fleet administration (e-tags, registration tracking).
Support process improvements and raise any issues impacting customer satisfaction.
Finance Support
Issue purchase orders and prepare customer invoices.
Chase outstanding debtor payments.
Perform credit card reconciliations and assist with basic financial record-keeping.
Skills & Attributes:
Prior experience in administration, operations, or finance support.
Good understanding of invoicing, reconciliations, and debtor follow-up.
Proficient with Microsoft Office (Excel, Word, PowerPoint).
Excellent attention to detail and ability to manage multiple tasks.
Strong communication skills and professional phone/email manner.
Proactive and willing to pitch in across different parts of the business.
