On The Ball Personnel, is super excited to provide an excellent opportunity for an Office Manager, to join our client, who are a wholesale Fashion Agency, established for close to 30 years. They represent a variety of labels, and supply to retailers across Australia and NZ. This is an opportunity to shape how their business operates and grows, to bring your operational expertise, tech fluency and pro-active energy, to a collaborative team that values autonomy, initiative and high standards. Your impact on the business will be impactful!

As the Office Manager, you will work closely with the sales and warehouse teams, helping to manage the orders, communicate with customers and assist in both direct and indirect sales functions. You’ll play an important part in keeping things running smoothly and making sure the customers receive outstanding service, all while managing daily office operations.

The Role:

Support the sales team with administrative tasks, order processing and customer follow-up

Communicate with clients via phone and email to ensure smooth transactions

Manage the full cycle of accounts, including - invoicing, credits, payments and statements

Help manage customer accounts and maintain accurate records

Provide general administrative support and help resolve any issues or delays supporting an efficient workflow

Assisting the Director with ad-hoc tasks as required

Provide occasional back-up support for other areas of the business as needed

What you'll need to succeed:

Minimum 2 to 3 years’ experience in administration or office management, ideally within a small-medium business

Highly organised with the ability to prioritise and manage multiple tasks

A strong systems thinker. You love streamlining workflows and implementing better tools and processes

Tech-savvy and comfortable with general IT functions, cloud systems and digital platforms.

Excellent computer literacy and proficient with Microsoft 365, (in particular, Excel)

Experience with stock/ inventory control and logistics

Accurate and speedy data entry skills

Liaison between our Richmond Showroom & our off-site Warehouse

Extra bonus points for experience in Uphance, Indigo 8, Shopify, Shipstation, Canva and Xero – but not essential
