About the Role:
The Project Support Coordinator is responsible for supporting the Project team to deliver within several active Naval, technologies and Uplift programmes.
Current ongoing projects include –
Australian Future Frigate project (Hunter)–
Ensuring that the in-country content (Australian Industry Capability) of the project is delivered safely, to budget, programme and to a high standard of quality. This will include assisting in the maintenance of Action Trackers, project plans and quality documentation, ensuring they are suitably tracked and are programmed in line with the Project Teams requirements.
Defence Industry Security Program (DISP) –
Ensuring that key reporting and record keeping is identified and controlled in accordance with the DISP framework and the company’s current Security Policy and Plans document.
Global Supply Chain Program (GSCP) –
Assisting with supplier engagement including the Implementation/administration of document control and reporting.
ISO 27001 –
Support the Project Manager in respect of ISO27001 accreditation where required. This will include assisting with gap analysis and finding appropriate ways to close the gaps in support of the overall KM Australia ISO27001 implementation.
Kongsberg Nor Control (KNC)–
Assisting with the administration support for sales and delivery activities related to projects run between Nor Control Norway and our Maritime customers. This will include working with the KNC Project Manager/Controller to ensure timely invoicing to the external customer, project cost management and raising purchase orders and invoices internally between the separate business units.
The Project Support Coordinator will also contribute to the Business project reviews, including those with the Product Centres, customer or supplier to ensure effective tracking of project status, finances and quality deliverables are maintained.
Furthermore, the Project Support Coordinator will drive continuous improvement within the organisation and ensure that administrative controls within all projects remain compliant with the KM/CM Management System requirements (PP – Manage Projects and Programmes), as well as relevant ABC and Export Control regulations.
Responsibilities:
· Managing daily administrative functions of a project or program.
· Collecting and analysing project data and reporting on outcomes.
· Coordinating, active engagement and administering of project meetings, including updating Action Trackers and issuing of minutes where required.
· Input and upkeep of project controls documentation including technical Document Control implementation and administration
· Support in the Delivery of project to time, cost and quality to the project team as directed by the Project Manager.
· Maintenance of detailed project management plans.
· Reporting against the project budget, providing progress status and input to finance reports where required. Maintaining compliance with all associated KM/CM Management System processes.
· Processing invoices and purchase orders specifically for Kongsberg Nor Control projects.
· Support in delivering security compliance within the business including the development and continuous review of a gap analysis against both the DISP framework and ISO27001.
· Interfacing with both internal and external stakeholders including product centres, customers and suppliers.
· Maintaining compliance with Export Controlled Technology / Hardware processes and procedures.
· Compliance to all aspects of ABC regulations.
Qualifications (requirements):
· Familiarity with project management methodologies, including project planning, risk management, and cost management.
· While formal qualifications are beneficial, practical experience working within various projects directly or indirectly (through its supply chain) in the Defence Industry is an advantage.
· Ability to work with our ERP system and other IT software packages such as Word, Excel, Microsoft Project, Microsoft PowerPoint.
· Ability to influence at all levels.
· Strong interpersonal skills and communication skills, both verbal and written.
· Strong planning and organising skills to manage short, medium and long-term activities and deliverables.
· Ability to understand the importance of a good work ethic and remain focused on multiple year projects.
· Self-motivated, and prepared to use their own initiative and able to work independently or as part of a team.
· Flexibility to travel domestically and internationally when required.
· Ability to build relationships that bring together a broad range of talents, experience and perspectives thus promoting the "One Team" approach.
· Acts in a professional courteous manner to our colleagues and Customers always.
· An aptitude for problem solving in a high-pressure environment.
· Compliance with the company's HS&E policies and procedures and involvement in HSE governance activities.
· Active participation in Business improvement activities.
· Must be able to obtain a National Police Clearance, or currently hold one issued within the last 6 months.
Highly Valued Experiences/Skills and Knowledge -
· Previous active team member within supplier, ISO or internal audits.
· Working knowledge of the Defence Industry Security Program and/or ISO27001.
· Display a genuine interest to work within a company who is supporting the development of Australian Industry Capability and supplier uplift.
