In this role, you will be performing a dual function as both Executive Assistant to the Director and Office Manager for a design-focused architectural studio. You will provide comprehensive support to the Director while overseeing the daily operations of the studio to ensure a productive, efficient, and positive working environment.
Working within a progressive architectural practice known for its innovative, sustainable approach to design and construction technology, you will be joining a team committed to creating thoughtful buildings that push boundaries while remaining grounded in human experience. The studio is recognised for its distinctive projects that blend cutting-edge technology with elegant design solutions.
Key Responsibilities
Provide high-level executive assistance to the Director including calendar management, email management, and travel arrangements
Coordinate meetings, prepare agendas, and document minutes
Assist with implementation of key business strategies and policies
Manage presentation of the office including preparation of meeting rooms and daily styling
Oversee studio equipment, facilities, and IT management (with external consultants)
Identify areas for improvement and implement initiatives to enhance studio operations
Organise corporate events including client entertainment, staff lunches, and workshops
Coordinate CPD and training opportunities for staff
Implement health and safety protocols for a secure working environment
Provide client and customer service including reception duties
Assist with project administration documentation as required
Attend industry events to increase the studio's visibility
Skills and Experience
Proven experience as an Executive Assistant, Office Manager, or similar role
Exceptional organisational and time management skills
Strong written and verbal communication abilities
Proactive problem-solving approach
Ability to prioritise and manage multiple tasks simultaneously
Proficiency with Microsoft Office suite and other relevant software
Experience in coordinating events and meetings
