About Us
The Bionics Institute is an internationally recognised, independent medical research institute dedicated to solving medical challenges through innovative technology. We lead the world in the development of medical devices and therapies to improve human health. Our team of world-class scientists, engineers, and researchers work from our laboratories at St Vincent’s Hospital Melbourne, collaborating closely with clinical partners. Together, we are transforming the lives of people living with conditions such as Alzheimer’s disease, Parkinson’s disease, stroke, hearing impairment, and more.

About the Role
We are seeking an Executive Support Officer to join the BI team and play a dual role in maximising the efficiency of our CEO while advancing the organisation’s revenue generation activities.

In this unique position, you’ll provide high-level executive support to the CEO while working closely with our Development team to drive revenue initiatives such as commercialisation, spin-off companies, contract research, grants, and philanthropy. You’ll play a key role in ensuring the CEO’s time is focused on what matters most—engaging with investors, donors, partners, and stakeholders.

You’ll liaise regularly with senior internal leaders, while also working with our Board of Directors and external partners. From managing complex schedules and preparing board reports, to researching potential investors and developing pitch materials, this role offers variety, visibility, and impact.

Key Responsibilities:

Provide executive and administrative support to the CEO, including calendar management, travel arrangements, meeting coordination, agendas, and minutes.

Draft and proofread reports, speeches, internal communications, grant applications, and promotional materials.

Undertake research and prepare high-quality briefs, proposals, and investor/donor profiles.

Develop impactful PowerPoint presentations, pitch decks, and scripts for meetings, events, and podcasts.

Coordinate CEO contributions to board reports and strategic initiatives.

Liaise with board members, hospital partners, donors, and other senior stakeholders to strengthen relationships.

Manage contracts, purchase orders, invoices, and expenses in a timely manner.

Support events, functions, and Institute-wide initiatives in partnership with the Development team.

About You

Passionate about innovation and bring a growth mindset, with the ability to manage diverse tasks ranging from data analysis and report writing to preparing presentations and coordinating meetings. With a degree-level qualification in health or science (or equivalent experience), you have excellent written and verbal communication skills, high attention to detail, and the ability to quickly build rapport.

Success in this role requires strong organisational, analytical, and problem-solving skills, with proven experience managing multiple priorities, meeting deadlines, and engaging effectively with stakeholders at all levels.

Selection Criteria:
Essential:

An undergraduate qualification in health, science or related field; or equivalent work experience of at least two years.

Knowledge or experience of supporting or contributing to commercialisation, spin-off companies, or industry partnerships.

Demonstrated experience in managing multiple concurrent projects and liaising with people at all levels.

Demonstrated ability in coordinating meetings and events.

Demonstrated experience in synthesising complex information into easily understandable, concise language.

Demonstrated experience in desk top research and report writing.

Demonstrated proficiency in the use of Microsoft 365 to develop reports, spreadsheets and PowerPoint presentations.

Familiarity with basic financial processes, such as purchase orders, invoicing, and reconciliation of expenses, as well as diary management and travel coordination.

Desired:

Postgraduate study in science, health, business, commercialisation, law or related field.

Experience of working in a medical research institute, university, non-profit, or health/science organisation.

Experience in podcast production and management and marketing

Additional Requirements:
Before an offer is made, preferred candidates will be required to provide:

A national police check via Fit2Work.

Proof of legal right to work in Australia.

How to Apply:
If you are ready to make a significant impact and contribute to the continued success of the Bionics Institute, we encourage you to apply by submitting your CV and a brief cover letter (max 2 pages) addressing the selection criteria.

Applications Close: 15 September 2025 at 11:59 pm. Please note, applications will be reviewed as they are received, and the position may be filled before the closing date.
