The Rockhampton Grammar School is seeking to employ a passionate and experienced Payroll & Human Resources Officer to join our team.

This is a 24 month fixed-term, full-time opportunity.

Due to the large, fast paced nature of this position, the successful applicant requires demonstrated payroll experience of at least two years.

The Rockhampton Grammar School was founded in 1881 and is an independent co-educational day and boarding school private school, educating and caring for students from Prep to Year 12, as well as the Early Learning Years. The School is the largest independent boarding school in Queensland and the second largest co-educational boarding school in Australia. POSITION TITLE: Payroll & Human Resources Officer

DEPARTMENT: Finance

CLASSIFICATION: 24 Month Fixed-Term, Full-Time, School Officer Level 5 depending on experience and/or qualifications

REPORTS TO: Finance Manager

ABOUT THE ROLE

The Payroll & Human Resources Officer will be responsible for providing timely and accurate end-to-end processing of the fortnightly payroll function in conjunction with key human resources administration for all staff of the School (approx. 420). Ensure compliance with employment conditions and supports staff with payroll-related queries, contributing to the smooth operation of the School’s payroll function.

KEY DUTIES AND RESPONSIBILITIES

The incumbent is accountable for the accuracy, quality, and timeliness of payroll and human resources administration and is required to show initiative, high attention to detail and discretion in handling sensitive information.

Duties will include, but not limited to:

Ensure all time and attendance data, timesheets, leave forms and other relevant payroll documentation are appropriately completed, verified and approved;

Prepare and process fortnightly end-to-end payroll for the School in a timely manner, including leave accruals;

Calculate and process leave entitlements, terminations, and adjustments;

Perform manual payroll calculations including leave loading payable to teaching staff and proportion of salaries;

Process pay increases, calculation of backpays and overpayment recovery;

Administer Superannuation, PAYG withholding tax, Single Touch Payroll and payroll deduction payments;

Coordinate the onboarding process, including collecting required documentation, setting up employee records in the payroll system, and ensuring all compliance checks are completed prior to commencement;

Prepare and coordinate paperwork throughout the employment lifecycle, including contracts, onboarding/offboarding, personal records and Statements of Service;

Enter and maintain accurate employee information in the payroll system throughout the employment lifecycle;

Coordinate the offboarding process, including acknowledging resignations, issuing internal notifications, and coordinating the deactivation of system and facility access;

Track and maintain records for mandatory compliance requirements, including Blue Cards and Safeguarding Children Training, and follow up with employees to ensure renewals are completed on time;

Administer and balance end of financial year payroll;

Assist external auditors with year-end audit;

Prepare reporting and statistical information as required;

Maintain a working knowledge of all related Awards and current Enterprise Agreement;

Working in support of, and providing assistance to, the Finance Manager attend to and resolve payroll enquiries and matters and maintain personnel files;

Other duties as directed.

REQUIRED SKILLS/KNOWLEDGE/EXPERIENCE

Essential:

Demonstrated end-to-end payroll experience of at least two years in a medium to large size organisation preferably within an education or public sector environment

Strong understanding of payroll legislation, taxation, and superannuation requirements

Proficient in the use of computerised payroll and time and attendance systems;

Proficient in the use of the Microsoft Office Suite – Word, Excel;

Good analytical skills with an ability to identify and solve problems;

Strong organisational and administrative skills, including the ability to prioritise and manage work with high attention to detail;

Exercise confidentiality, discretion and sound judgement at all times;

Strong interpersonal skills and an ability to successfully communicate and liaise with people at all levels, both internal and external.

Desirable:

Experience with interpreting awards and enterprise agreements.

Familiarity with school-based employment structures and term-time arrangements

SAFEGUARDING CHILDREN AND YOUNG PEOPLE

Undergo periodic “national criminal history record” checks;

Report to management any criminal charges or convictions you receive during the course of your employment that may indicate a possible risk to children and young people.

CONDITIONS FOR EMPLOYMENT

The successful applicant will be subject to a “Working with Children Check and Criminal Records Check” where applicable. The School undertakes several screening processes to ensure the appropriate protection of children and young people in its care. This includes reference checks, identity checks, qualification check and professional registration checks.

Working with Children Check;

Safeguarding Children Online Training Certificate;

Police Check.
