Able to work individually demonstrating initiative, and confidently work alongside other Administrators as part of a team.
Confident communicator who can liaise with team members, suppliers, and customers.
Excellent problem-solving skills with a common-sense approach.
Proven experience and tendency to create and improve systems and processes.
Competent with Microsoft Word and Excel.
Experience with a cloud-based Job Management System — ServiceM8 preferred.
Previous experience in a service or trade-based company (electrical highly regarded).
(Nice to have) Familiarity with NSW electrical compliance processes (e.g., AS/NZS 3000, SIR NSW).
Role & responsibilities
This position will report to the General Manager and, working alongside our existing admin team, is required to undertake the general administration of the business to ensure operational, management and other key functions run effectively and efficiently. You will be directly responsible for:
Be the ‘face of the business’ as first point of contact: answering telephone calls, emails and other correspondence.
Customer service & communication: book jobs, keep customers updated, send confirmations, reminders, ETAs and follow-ups; manage customers day to day.
Dispatch & scheduling: enter, maintain and manage tasks in ServiceM8 from start to finish; allocate/dispatch jobs and manage the schedule to keep jobs moving.
Stay on top of things: monitor the job queue, follow up open tasks, and close out jobs with accurate notes and photos.
Order materials: raise Purchase Orders for materials, follow up orders, and track deliveries against jobs.
Liaise with the field team: coordinate timings, variations, and site needs.
Timesheets & basic job costing: collate timesheets ready for payroll and assist with simple cost checks.
Compliance & records: lodge and maintain documentation and photo records as required.
General admin support for the business and GM.
Be a key member in the growth and development of a growing player in the industry.
