About the Role
We are seeking a highly organised and proactive Chief of Staff (including all Executive Assistant functions) to directly support the CEO. This role is pivotal in ensuring the CEO’s time is used effectively, priorities are managed strategically, and information flows efficiently across the business.
You will act as the right hand to the CEO, managing their schedule, preparing for meetings, handling confidential communications, and providing executive-level administrative support. You will also coordinate with senior leaders across the organisation, helping to ensure alignment between the CEO’s priorities and operational delivery.
This position is based in our Kirrawee, NSW office with occasional travel to other sites as required.
Key Responsibilities
Provide high-level executive support to the CEO, including complex diary and email management.
Coordinate and prepare agendas, briefs, reports, and presentations for internal and external meetings.
Manage sensitive and confidential information with discretion.
Ensure proactive and effective reporting from business units of financial, operational and administrative performance in weekly, monthly, quarterly cycles.
Act as the first point of contact for the CEO, filtering and prioritising communications.
Follow up on action items and ensure deadlines are met across the leadership team.
Organise and coordinate leadership events, performance coaching, quarterly off sites and the weekly, fortnightly and monthly meeting cycles.
Liaise with clients, stakeholders, and staff on behalf of the CEO when required.
Assist with project coordination, event planning, and strategic initiatives.
Support governance, compliance, and reporting requirements.
What We’re Looking For
Proven experience as an Executive Assistant or in a high-level administrative role, preferably supporting a senior executive.
Exceptional organisational skills with the ability to manage competing priorities.
Strong written and verbal communication skills, with the ability to prepare polished documents.
High level of professionalism, confidentiality, and discretion.
Strong interpersonal skills and ability to work collaboratively with internal and external stakeholders.
Proactive, solutions-focused, and able to anticipate the needs of the CEO.
Proficient in Microsoft Office Suite, scheduling systems, and document management tools.
A flexible, “can do” attitude with the ability to adapt quickly in a fast-paced environment.
Defence knowledge or experience highly desirable – this includes familiarity with Defence operations, culture, or Defence-related projects.
Desirable:
Experience in Defence, government, corporate services, or complex operational environments.
Knowledge of property, facilities, or service delivery industries.
