About The Role

The Event and Ticketing Officer plays a key role in delivering high-quality customer experiences and is a primary point of contact for patrons and venue users. Working closely with the Events Coordinator and Ticketing and Administration Coordinator, this role supports front of house, ticketing, and food and beverage services to ensure excellent customer experiences. It also ensures accuracy and consistency of data in operational systems and contributes to the overall administration of the Centre.

Here at the Centre you will be part of a busy, positive environment, working within an experienced team where we deliver professional and community live performances including theatre, contemporary and classical music, comedy, dance, cabaret, physical theatre, festivals and more. This rostered role includes regular hours as well as evening and weekend work as required.

A Bit About You

We are looking for individuals who have a passion for the Arts who can translate that passion into incredible customer experiences. As a team player, you will have excellent communication skills and put customers at the centre of everything you deliver. To be successful in the role you will also have excellent administration and IT skills, including utilising Microsoft 365 including Word, Excel, PowerPoint, Outlook, SharePoint, Teams and other database management. You will be able to use imagination and creativity to contribute towards process improvements and efficiencies. You will be comfortable with financial duties such as cash handling, cash receipting, electronic POS and banking procedures and deliver this with a strong attention to detail.

Key Accountabilities of the Role

Event Delivery

Source relevant information for events as part of the planning and preparation process and update the Momentus Venue Management Platform with all current event information.

As FOH Supervisor facilitate Event Bump-Ins and Bump-Outs and lead the FOH Event Delivery team during events to support operational and WHS requirements and relevant business outcomes and objectives.

Undertake Chief Warden duties during events as required, taking responsibility for the calm and efficient evacuation in the event of an emergency.

Assist in onboarding and training of new casual front of house and box office staff.

Assist with planning and logistics for staff recruitment and training sessions.

Assist with maintaining up to date Event Staff records and certificates in line with the Centre’s policies and procedures.

Assist with maintaining Front of House rosters for Event Staff in line with pre-determined event budgets and rostering standards.

Maintain up to date records for items including but not limited to: Maintenance Registers, Contractor Registers, Key and Fob Registers, Chemical Registers, Stock Reports, Point of Sale systems.

Ensure that venue presentation is kept at a high standard. Oversee waste management and liaise with cleaning staff.

Order bar and cleaning stock and ensure stock control.

Box Office Operations

Provide high-quality customer service via phone, email, and in-person both onsite and for external ticketed events.

Process ticket sales, exchanges, refunds, and reservations using the ticketing system.

Provide information on events, seating arrangements, accessibility options, and venue policies.

Act as initial contact for customer enquiries and complaints, ensuring issues are resolved or escalated efficiently ensuring all customer interactions are handled with professionalism and in accordance with DEC's customer service standards.

Assist with data entry and management of accurate records and customer databases.

Assist in setting up and managing show builds, including pricing structures, seating configurations, and discount codes.

Monitor and report on ticket sales, producing regular sales and attendance reports.

Support promoters, venue staff, and internal teams with ticketing enquiries and event logistics.

Process internal ticketing allocations, RSVPs and complimentary ticket requests.

Ensure accurate cash handling, end-of-day reconciliation, and balancing of financial records.

Business Support

Contribute to a positive working culture of continuous improvement.

Prepare reports and documentation as required, including financial reconciliations and event summaries.

Tracking of partnership and funding deliverables.

Contribute to the review and improvement of DEC’s policies, procedures and operating systems to ensure the most up to date and professional service is provided to all clients and patrons.

Complete tasks and projects as assigned by the Events Coordinator and Ticketing and Administration Coordinator in an efficient and timely manner.

Complete other duties based on the experience and level of this position.

Selection Criteria

Essential Criteria

High level customer service, interpersonal and communication skills.

Willingness to work flexible hours when required including evenings and weekends.

Proven experience working autonomously and cooperatively within a fast-paced, dynamic team environment.

Ability to set priorities and organise work to achieve set objectives and adapt to a changing and moving business.

Administration and IT skills, including Microsoft Office 365 including Word, Excel, PowerPoint, Outlook, SharePoint, Teams and other database management with the ability to adapt to and train others in new systems.

Experience in cash handling, including end-of-shift reconciliations.

Hold (or be willing to obtain and maintain) a current Ochre Card and Responsible Service of Alcohol certification.

Advantageous Criteria

Previous experience in food and beverage, event planning and delivery.

Experience in the entertainment industry is highly regarded. A genuine enthusiasm for the performing arts is a plus.
