The Position
Full-time, Rockhampton
The AO is an individual responsible for performing a variety of admin & clerical tasks (including bookkeeping/payroll) by providing support to our Directors and employees. You will assist in the administration of our company's general admin activities to ensure smooth and effective day-to-day operation of our business.
You may also need to undertake direct tasks with clients at the direction of the CEO.
Responsibilities
Liaise with clients, councils, government agencies, and contractors as instructed by management
Provide general administrative and clerical support to management and staff, including bookkeeping & payroll
Maintain an electronic and hard copy filing system
Open, sort, and distribute incoming correspondence
Manage project files
Assist Manufacturing Manager when required
Greet all site visitors and liaise with meetings
Perform data entry and scanning of documents
Manage calendar for Managing Director
Assist in resolving & streamlining admin tasks
Run company errands, including post office & office supply
Phone answering & outbound calling
Prepare and modify documents including correspondence, reports, drafts, memos, and emails
Schedule and coordinate meetings, appointments, and travel arrangements for Managers/Directors
Maintain office supplies
Assist CFO by acquiring & preparing monthly receipts data as per procedure
Ensure timing distribution of material & mail to management team
Liaise and assist Office Manager with marketing, HR, and management responsibilities as directed
Assist staff with IT
Requirements
Skills
Good oral & written communications skills
Good interpersonal skills in
- communication and consultation
- client relations
Sound interpretive, analytical, and problem solving skills
Ability to work as part of a growing team
Advanced computer skills in a variety of applications including:
- MS Word
- MS Outlook
- MS Excel
- Office 365 Project Management packages
- Xero, MYOB, or other bookkeeping software a bonus
Ability to prioritise tasks & projects
Good research skills and attention to detail
Ability to ‘think outside the box’ to complete certain tasks with little or no direction
Flexible and mature approach to work tasks, with a willingness to learn.
Knowledge
Strong knowledge of human relation issues
Strong knowledge of computer and technical web based issues
Knowledge of the development approvals process is desirable, although can be taught
Knowledge of office system, procedures and functions is a must.
A drivers license is a must.
