About this exciting opportunity
The Administration Officer is responsible for the delivery of administrative support services for the AIMS WA office, and the provision of support to the Research Program Director (RPD) for both the Sustainable Use of NW Marine Ecosystems and Recovery Adaptation and Restoration, as well as the broader WA Leadership Team. Our Operations team supports scientists and staff based in our WA office and your administrative role is integral to ensuring that all communication, scheduling, meetings, travel, business events and general business administration is organised to support our WA operations.
Operating in a fast-paced environment your key accountabilities will include:
- Coordinating and arranging travel itineraries, business catering, manuscript/ report submissions, as well as supporting employee onboarding activities,
- Event planning, scheduling and logistics management for meetings and workshops, and as required recording and distributing meeting minutes,
- Administering credit card acquittals and purchasing for business related activities,
- Diary and inbox management, including task coordination to support the Research Program Directors for Sustainable use of NW Marine Ecosystems and Recovery Adaptation and Restoration programs, and
- Managing a shared email inbox, handling the prioritisation, escalation, distribution and resolution of enquiries and requests.
About you
You are an administrative professional, with significant experience supporting senior staff. You are resourceful and adept at managing a high volume of tasks in a busy and dynamic environment. This role will suit an individual that is highly organised, forward thinking and who can take initiative when completing tasks.
You will be passionate about delivering high quality administrative support, and bring with you:
- Strong written, verbal, and interpersonal skills, coupled with excellent organisational and time management skills
- Experience arranging and facilitating travel logistics, meetings, appointments, credit card acquittals, ethical purchasing and managing executive schedules (diary and inbox)
- Proficiency working in Microsoft suite applications, you’ll be confident using these systems to support your daily coordination and administrative support
- Excellent communication skills and the ability to develop and maintain strong stakeholder relationships
Formal qualifications in Business Administration and understanding of operations of research organisations, universities or similar businesses would be advantageous.

- AIMS AOF Level 3 (3.1-3.5) salary ($76,454 to $86,147) per annum) plus 15.4% superannuation
- Full-time, 9-month Temporary (Labour hire) opportunity
