We’re looking for an Administration Assistant who brings experience in NDIS, allied health, or medical administration, with a sharp eye for detail, a love of systems, and the ability to keep our fast-moving environment running smoothly.
About the Role
You’ll be the glue that holds our operations together—supporting clinicians, coordinating service delivery, and ensuring we meet compliance under the NDIS framework. This role goes beyond basic admin and would suit someone familiar with supporting allied health professionals, managing clinical bookings, or working with NDIS-funded participants.
You’ll also liaise with a range of external stakeholders including schools, the Department for Child Protection (DCP), the Office of the Public Advocate (OPA), and the National Disability Insurance Agency (NDIA). You’ll assist in scheduling appointments, managing bookings, and ensuring communications are handled efficiently to support client success.
Key Responsibilities
Provide day-to-day admin support to management, clinicians, and coordination staff
Prepare, manage, and track participant documentation including intake forms, service agreements, consent forms, and funding approvals
Maintain accurate CRM records and assist with document compliance under NDIS Practice Standards
Liaise with participants, families, support coordinators, NDIA, and plan managers to ensure a smooth service experience
Coordinate communication with external stakeholders including schools, DCP, and OPA, ensuring client rights and service timelines are upheld
Assist with scheduling appointments, clinician availability, and internal rostering
Support onboarding of new participants and clinicians into systems and processes
What We’re Looking For
Experience in allied health, disability, or medical administration
Knowledge of the NDIS framework, including service bookings, price guides, NDIA processes, and plan management
High-level administrative and organisational skills
Confident with systems like Splose, ShiftCare, Lumary, or similar
Exceptional written and verbal communication
Professional, empathetic, and client-focused
Able to manage competing priorities and adapt in a growing team environment
Qualifications & Experience (Highly Regarded)
Certificate III or IV in Business Administration, Health Administration, or Community Services
Experience supporting a team of allied health professionals or support coordinators
Understanding of the NDIS Code of Conduct and client rights
Familiarity with privacy, consent, and information-sharing protocols, particularly when working with external agencies like DCP, OPA, and NDIA
