We are currently seeking a Mobilisation/Scheduling Coordinator with at least 2 years' experience in a similar role to assist with the day-to-day Logistics and Mobilisation requirements to work with our team. The Role is based in our Perth office, and you would need to be able to work with staff remotely and have the ability to develop and maintain a positive working relationships with open and effective communication.
We are offering casual with 3-month probation with the option to go Full-time for the right candidate. Hours per week 38-45.
Duties and Responsibilities
Booking client specific travel & accommodation requirements
Scheduling and coordinating jobs for field staff
Booking jobs into our job management system
Communicating with clients to provide updates and ETAs
Providing general administrative support to the operations team
Completing compliance checks, booking medicals, fulfilling site access requirements, issuing flights and contracts
Managing labour lists and site entry documentation
HR support to staff and management
Administrative support to staff and management
End to end recruitment conducting interviews and filtering candidates for open positions
Provide analytical and well documented recruiting reports to the rest of the team
Manage Onboarding and inductions of new employees, tracking qualifications
Updating social media
Conducting interviews and filtering candidates for open positions
Develop and update job descriptions and job specifications
Monitor and apply HR recruiting best practices
Act as a point of contact and build influential candidate relationships during the selection process
Strong attention to detail
Confident to communicate and build strong relationships with multiple stakeholders
Time management skills, ability to manage conflicting priorities and multi-task
Experience using SAM Workflow and INX Process (Desirable)
Experience working with BHP, RIO, MRL, FMG, WESTRAC, THIESS AND MACA mobilisation requirements (Desirable)
Positive attitude with drive to get the job done
Computer literacy – Microsoft Office, Word, Excel, PowerPoint
Ability to adapt quickly to new software
Excellent written and verbal communication skills at varying levels for external clients and internal team
Experience in an Administration or HR role would be highly regarded
Prerequisites:
Valid right to work in Australia
Current National Police Clearance
Valid Australian driver's licence
