Administrative Assistant
- $81,617.00 per annum + 12% superannuation
- Full-Time, fixed term position until 1/5/2026
- Wadawurrung / Geelong location - Hybrid working model (three days in the office and two days working from home)
About the opportunity
The Administrative Assistant provides administrative support to the Director - Claims, Managers and the broader Claims business unit.
Key accountabilities
- Provide high level administrative assistance to the Director, Claims including effective management of their diary and managing correspondence and incoming sensitive, confidential information.
- Provide a range of administrative support functions to support the delivery of core day-to-day and project activities for Director, Claims and managers from the Claims division.
- Assist the Director with Board papers, management reports and Committee meetings.
- Provide support to the Executive Director's office and IBU Senior Leadership team.
- Coordinate and provide support to the Claims division with travel bookings and catering requirements.
- Manage mailboxes, first point of contact for initial phone inquiries and directing enquires to appropriate contact.
- Develop and maintain records for Claims Division and ensure privacy and confidentiality obligations are met.
- Maintain administrative processes and templates including agendas, minutes and action registers.
- Coordinate meetings, functions, agendas and room bookings.

Skills and experience
- Proven experience in an administrative support role supporting senior leadership.
- Experience in preparation of presentations, agendas, minutes; as well as organising functions or team events.
- Effective organisation and time management skills.
- Excellent and effective written, verbal and telephone communication skills.
- Intermediate/ advanced knowledge of Office Suite (eg PowerPoint, Word, Excel).
- Highly developed interpersonal, communication skills.
- Ability to work autonomously, prioritise and exercise discretion.
