Learning Systems & Data Administrator

An exciting opportunity exists to join our Team at Foundation College at our
Casey/Peninsula campus.

Due to growing student enrolments across the College, we are excited to expand our Administration team with the addition of a Learning Systems & Data Administrator. The Learning Systems & Data Administrator plays a key role in the successful operation and administration of the school’s Learning Management System (Compass). This position supports the teaching and leadership teams with accurate and timely management of reporting cycles, timetabling, and school data. The role requires strong technical proficiency, attention to detail, and a proactive approach to training and system support. The role also provides frontline support to staff and students for basic IT-related queries, such as password resets and access to the Learning Management System.

The position will be based at either the Casey or Peninsula campus, with the flexibility to travel to the other campus as required—typically one to two days per week.

Foundation College

Foundation College is an independent specialist assistance school educating young people aged 15-19 who may have experienced barriers to learning. Foundation College offers Victorian Pathway Certificate as well as the VCE Vocational Major for years 11 and 12 on two campuses: Casey (Narre Warren) and Peninsula (Frankston).

Education Team Foundation College

As part of a Specialised Assistance School, you will work closely with students and be instrumental in helping them build confidence, develop employability skills, and prepare for long-term success beyond school through vocational learning and real-world experiences.

Key Responsibilities:

Compass LMS Administration: Maintain and update the Compass platform, including user accounts, roles, and permissions. Act as the main point of contact for all Compass-related issues and queries. Liaise with Compass support to resolve technical issues.

Reporting and Assessment Support: Coordinate the setup, scheduling, and publishing of student academic reports. Support staff in entering assessment data and ensure reporting timelines are met. Collaborate with curriculum leaders to ensure assessment frameworks are accurately reflected in Compass.

Timetabling: Assist with the preparation and ongoing management of school timetables in coordination with relevant staff. Provide termly or semester-based updates and rollovers as required.

Data Management: Help create reports on attendance, assessment, and student wellbeing to support school planning. Assist with exporting data for school leaders, teaching staff, and reporting needs. Identify and assist in resolving data inconsistencies to maintain data integrity.

Communications and System Integration: Assist with school-parent communications via Compass, including newsletters, events, and notifications.

Staff Onboarding and ICT Support: Assist with the onboarding of new staff, including basic training in Compass, school email systems, and general ICT protocols. Coordinate and maintain a register of school-owned devices and manage computer allocations for staff. Support basic troubleshooting for staff laptops and liaise with IT support when needed.

Experience:

Demonstrated experience in LMS and SMS in an education setting, Compass highly regarded.

High-level ICT skills and confidence using data systems, spreadsheets, and reporting tools.

Excellent attention to detail and organisational skills.

Ability to work independently and collaboratively with multiple stakeholders.

Knowledge of school operations, reporting cycles, and curriculum structures (VCE/VPC/VCE-VM desirable).

Experience in timetabling software highly regarded.

Qualifications and Requirements:

Current Working with Children Check.

Certificate IV or Diploma in Information Technology would be advantageous

A background in school administration/IT is an advantage.

Salary Range: Salary Range: $77,140 to $85,372

Part-time 0.8 FTE negotiable. The actual salary will be pro-rata based on agreed hours.

Generous salary sacrificing (not-for-profit organisation).
