An exciting opportunity exists to join our Team at Foundation College at our
Casey campus.
Due to growing student enrolments across the College, we are excited to expand our Administration team with the addition of an Administration Officer – Wellbeing & Student Services position. This role supports the daily operations of the wellbeing team by managing attendance data, coordinating Individual Education Plans (IEPs), maintaining student profiles, and providing reception support for student services. The role requires excellent organisational skills, discretion with confidential information, and a commitment to inclusive, student-focused practice.

Foundation College is an independent specialist assistance school educating young people aged 15-19 who may have experienced barriers to learning. Foundation College offers Victorian Pathway Certificate as well as the VCE Vocational Major for years 11 and 12 on two campuses: Casey (Narre Warren) and Peninsula (Frankston).

As part of a Specialised Assistance School, you will work closely with students and be instrumental in helping them build confidence, develop employability skills, and prepare for long-term success beyond school through vocational learning and real-world experiences.
Key Responsibilities:
Wellbeing and Diversity Administration Support: Provide day-to-day administrative support to the Head of Wellbeing and Diversity, Head of Campus – Casey, including the maintaining accurate, confidential records that reflect a respectful, inclusive approach to student support.
Attendance Monitoring and Follow-Up: Monitor daily attendance data and generate reports to support wellbeing team.
Individual Education Plans (IEPs) Maintain a register of current IEPs and track review timelines.
Student Profiles and Records: Create and maintain comprehensive student profiles, incorporating wellbeing notes, assessments, and support plans. Support the accurate collection of NCCD data and related student support documentation.
Confidential Information Handling: Handle all sensitive and confidential information with professionalism and discretion. Ensure staff understand and comply with appropriate data-sharing protocols. Support staff in documenting and storing wellbeing-related notes appropriately.
Front Reception and Student Services: Provide a welcoming presence at the student services reception area. Manage the student sign-in and sign-out process, including late arrivals and early leavers. Record student movements accurately in Compass or other systems.
Event and Program Support: Assist in organising and running student wellbeing and diversity events (e.g. Breakfast Club, cultural days, awareness campaigns).

Experience:
Proficient in Microsoft Excel and confident in spreadsheet-based data management.
Demonstrated ability to use digital tools and AI technologies to support administrative workflows and student services.
Experience in school, wellbeing, or community services administration highly regarded.
Familiarity with Compass, or other student management systems.
Strong organisational skills, attention to detail, and ability to manage multiple priorities.
Understanding of IEPs, NCCD processes, and inclusive education principles.
Excellent interpersonal and communication skills with students, families, and staff.
Ability to work effectively with confidential and sensitive information.
Qualifications and Requirements:
Current Working with Children Check.
A background in school administration is an advantage but not essential.

Part-time (4 days per week. Monday, Tuesday, Thursday Wednesday/Friday by negotiation)

Salary Range: Salary Range: $77,140 to $85,372
Part-time 0.8 FTE negotiable. The actual salary will be pro-rata based on agreed hours
