Position Summary:
Alzheimer's WA is seeking a Administrative Assistant/Receptionist to join our team.
The Administrative Assistant / Receptionist is the first point of contact for visitors and callers and plays a vital role in creating a professional and welcoming office environment. This position provides broad administrative support including front-desk reception, basic financial administration, event coordination, executive team assistance, and general office management. The role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously in a dynamic work environment.
Key Responsibilities and Accountabilities
Reception & Front Desk
Greet all visitors and clients professionally and direct them appropriately.
Answer and manage incoming phone calls, emails, and messages.
Maintain the reception area, ensuring it is clean, organized, and welcoming.
Manage incoming/outgoing mail and deliveries.
Manage meeting room bookings and prepare spaces as needed.
Finance Support
Assist with basic financial administration, including data entry of invoices and receipts.
Reconcile petty cash and process staff reimbursements.
Support the finance team with monthly reports and filing.
Maintain accurate records for financial transactions.
Event Coordination
Assist in planning, coordinating, and delivering internal and external events.
Liaise with venues, caterers, and other vendors to ensure event logistics run smoothly.
Organize materials, agendas, and supplies for meetings and functions.
Coordinate RSVPs and attendee communications.
Executive Support
Provide day-to-day administrative assistance to the executive team, including diary management, travel bookings, and meeting coordination.
Prepare meeting agendas, take minutes, and follow up on action items.
Assist in the preparation of presentations, reports, and correspondence.
General Office Duties
Maintain and order office supplies and equipment.
Coordinate repairs and liaise with building management as needed.
Maintain filing systems (physical and digital) for easy retrieval.
Support HR & WHS functions with onboarding administration and record-keeping.
