Hays are currently working with a community-focused, not-for-profit organisation that represents the interests of Traditional Owners in Western Australia. They are looking for their next EA to the CEO and CFO, on a 12-month FTC, paying up to $90k + Super + Salary Packaging.
Your new company
As Executive Assistant to the CEO and CFO, you will be central to maintaining the efficiency and professionalism of the executive office. You will manage calendars with precision, ensuring their time is aligned to key priorities and that scheduling conflicts are resolved smoothly. You will oversee coordination of board meetings, prepare essential materials, and document accurate minutes that reflect key decisions and discussions. You will also be responsible for planning, organising, and supporting internal and external meetings, making sure they are fully briefed and supported throughout. In addition, your role may involve assisting other senior leaders when needed, requiring discretion, agility, and strong cultural awareness.
Deliver high-level administrative support, managing complex calendars, travel logistics, and meeting arrangements.
Your new role
- Draft and refine reports, correspondence, presentations, and documentation with attention to detail and accuracy.
- Serve as the key liaison for both internal and external stakeholders, fostering strong relationships and respecting cultural protocols.
- Oversee preparation and coordination of board and senior leadership meetings, including agendas, minutes, and action tracking.
- Track key projects, deadlines, and deliverables to ensure leaders are staying ahead of commitments.
- Handle sensitive information with absolute discretion and maintain strict confidentiality.
- Provide coordination support for cultural and community engagement activities, including events and ceremonial responsibilities.
- Maintain comprehensive and compliant documentation to support governance processes and reporting requirements.
What you'll need to succeed
- Minimum of three years' experience providing executive-level support to a CEO or senior leader in a fast-paced environment.
- Demonstrated excellence in organisation and time management, with the ability to work independently and manage competing demands.
- Strong written and verbal communication skills, with the ability to engage confidently across all levels.
- Advanced proficiency in Microsoft Office applications, alongside solid general IT capabilities.
- Proven ability to handle sensitive matters with discretion, sound judgment, and professionalism.
- Willingness and capacity to travel periodically to remote areas within Western Australia as required.
- Deep understanding and respectful approach to Aboriginal and Torres Strait Islander cultures, protocols, and practices.
- Prior experience working with Aboriginal Corporations or within Indigenous communities desirable.
- Knowledge of governance and compliance frameworks relevant to Aboriginal organisations desirable.
- Experience supporting a community sector Board of Directors is desirable.
