Position Overview:
The Warrnambool Golf Club is the premium venue for functions, weddings and corporate events in Warrnambool. The Functions/Events Manager at Warrnambool Golf Club is a pivotal role and combines responsibility for events and daily hospitality operations.
The Functions/Events Manager is dedicated to the seamless execution of all functions, events, and activities held at the club. This role is responsible for planning, coordinating, and overseeing a diverse range of events, from private parties and weddings to corporate functions and member-based events. The ideal candidate will possess exceptional hospitality knowledge, organisational skills, a keen eye for detail, and a passion for delivering memorable experiences that enhance the club's reputation and customer satisfaction.
The Functions/Events Manager is responsible for the daily operations of the venue and ensuring the delivery of outstanding customer service to members and guests utlilising the club’s hospitality operation. This includes effectively allocating work to and supervising employees in all frontline areas, as well as maintaining and complying with all service, safety, stock and equipment procedures.
Key Responsibilities:
1. Event Planning, Coordination and Delivery:
· Collaborate with external clients to understand their expectations and requirements for events.
· Developing and delivering an event calendar to meet club expectations.
· Develop event plans, including timelines, budgets, and detailed itineraries.
· Coordinate all logistical aspects of events, including calendar bookings, invoicing, contractor coordination, external hire requirements, ordering of goods, room set up and presentation.
· Serve as the primary point of contact for clients, ensuring clear and consistent communication throughout the planning process.
· Supervise the setup, execution, and breakdown of events, ensuring all aspects run smoothly and efficiently.
· Conduct post-event evaluations to gather feedback, identify areas for improvement, and measure client satisfaction.
· Maintain accurate records of event details, expenses, and outcomes for reporting and future reference.
2. General Operations
Providing a contemporary and considered offering with a focus on innovation.
Provide a high level of service as required by management to the benefit and enjoyment of the patrons.
Coordinate daily set-up and service procedures including table setting, re-stocking and food preparation.
Manage cash floats and daily POS reporting and reconciliation.
Monitor and manage patrons, including customer enquiries, complaints and appropriate behaviour.
Ensure cleaning and maintenance tasks are carried out.
3. Staff and Vendor Management:
· Work collaboratively with General Manager to manage staff rostering and ordering of stock associated with the delivery of events.
· Identify and manage positive relationships with vendors, contractors and service providers.
· Oversee the training, scheduling and supervision of staff and volunteers, in consultation with General Manager.
· Ensure all team members are well-informed and prepared to deliver high-quality service.
4. Marketing and Promotion:
· Assist in the development and implementation of marketing strategies to promote the club and attract new business.
· Collaborate with management to create promotional materials and manage social media campaigns.
· Participate in networking events and industry conferences to build relationships and promote the club.
Qualifications and Skills:
· Formal qualifications in Hospitality, Event Management and Marketing, or a related field.
· Minimum of 2-3 years of experience in event planning or a similar role, preferably within the hospitality or events industry.
· Proficiency in Microsoft Office, social media and content creation platforms
· Ability to work flexible hours, including evenings, weekends, and holidays, as required by event schedules.

A condition of your employment is that you maintain and present a current RSA certificate.
