About the Role
As a Business Assistant you’ll be responsible for complex calendar management, travel coordination (domestic and international), expense reporting, and supporting key business operations. You’ll also play a vital role in organizing meetings, events, and team activities, working closely with stakeholders across the organization.
This is a remote role, open to candidates based in Melbourne or Sydney. You’ll work independently, handle sensitive information with discretion, and help drive the rhythm of the business in a collaborative, global environment.
Key Responsibilities
Proactively manage complex executive calendars and coordinate meetings with internal and external stakeholders
Organize end-to-end travel arrangements and process expense reports
Support staff meetings, events, conferences, and team off-sites, including logistics and agenda management
Build and maintain strong working relationships with business leaders and teams
Partner with business operations, Chief of Staff, and peer administrators to ensure smooth organizational operations
Handle confidential information with professionalism and sound judgment
Coordinate team morale events and broader team-wide activities
About You
3+ years’ experience in administrative, business support, or customer service roles, with a focus on executive support, calendar management, and travel coordination
Proficient in Microsoft Office tools (Outlook, Word, Excel, PowerPoint) and collaboration platforms (OneNote, SharePoint, Teams, or similar)
Excellent communication, organizational, and time management skills
Ability to work independently, adapt to change, and manage multiple priorities
Professional presence and a positive, proactive attitude
High level of discretion and ability to handle sensitive information
