Thomson Wealth is a boutique financial planning firm based in Curtin, Canberra. We help high-income individuals and families make smart financial decisions and build long-term wealth. We're seeking a reliable and motivated Executive Assistant to support our Principal Adviser and help deliver a smooth, high-touch client experience.
Work 9am–5pm or school-friendly 9am–3pm
35-hour full-time equivalent (less than 37.5hr week)
13th-month Christmas bonus after 12 months

About the Role
This is a 3-day per week, in-office role—perfect for someone looking for flexibility, variety, and meaningful work.
As Executive Assistant, you'll support the adviser directly and keep the business running efficiently behind the scenes. Your work will directly contribute to helping clients feel more confident and at peace about their financial future.
You'll be responsible for:
Managing the adviser's inbox and calendar—scheduling meetings, filtering priorities, and ensuring no ball is dropped
Answering the office phone with professionalism and warmth, and ensuring messages and client needs are handled promptly
Preparing the office for in-person client meetings—refreshments, room setup, and personal touches
Greeting clients and supporting warm, lasting relationships through thoughtful follow-up
Helping new prospects prepare for their 90-minute discovery meeting (e.g. fact find and onboarding steps)
Issuing invoices and processing direct debit forms, ensuring all billing is accurate and timely
Coordinating business workflows in Monday.com, including managing the Fees Board and client onboarding status
Following standard operating procedures and Monday.com task lists—but also using initiative and thinking on your feet when given ad hoc tasks without a set process
Emailing annual tax packs to clients and their accountants in a timely and professional manner
Assisting with the fortnightly email newsletter, using AI tools and content from referral partners
Coordinating ad hoc client webinars and events—including RSVPs, logistics, materials and post-event follow-ups
Liaising with our remote assistants in the Philippines to ensure all delegated tasks are on track
Supporting general administration and light marketing coordination

Who This Role Suits
You'll thrive in this role if you:
Have at least 12 months of experience in a professional office or EA role
Are highly organised, proactive, and confident managing calendars, admin, and workflows
Have strong written and verbal communication skills, including confident phone manner
Are tech-savvy (or confident learning tools like Monday.com, Outlook, Canva, and Myprosperity)
Are warm, personable, and enjoy creating a beautiful client experience
Are comfortable following detailed processes, but also able to confidently handle tasks without a clear SOP when needed
Are available 3 days per week in our Curtin office
Want flexibility: we offer school-friendly hours of 9am–3pm if preferred
Have Australian citizenship or permanent residency status
Are proficient in Microsoft Office Suite (especially Outlook, Word, and Excel)
