Position: Executive Assistant to Selling Principal
Location: Central Sunshine Coast
Salary: $80k - $100k (depending on experience) + Super

Must have your QLD Real Estate Certificate and Real Estate experience is essential.

Key Responsibilities:

  • Open Home Coordination: Schedule and prepare open homes, including bookings, confirmations, and marketing materials.
  • Document & Contract Management: Submit listing appointments and contracts (no processing required).
  • Client Liaison: Serve as the main contact for sellers and buyers, providing updates and support.
  • Pre-Market Preparation: Coordinate trades for property maintenance and styling.
  • Photography & Marketing: Arrange professional photography, videography, and quality control.
  • Workflow Management: Ensure tasks are completed efficiently and on time.
  • Post-Contract Support: Assist with key steps after signing for a smooth transaction.
  • Settlement & Handover: Manage settlement preparations, final inspections, and buyer handovers.
  • Reporting: Prepare and send seller reports on campaign performance.
  • Organise and oversee events, meetings, and other special activities, ensuring they run seamlessly.

Experience / Requirements:

  • Proven experience as an Executive Assistant or in a similar role within the real estate industry is a must.
  • Must have your QLD Real Estate Certificate and driver's licence
  • Ability to work independently and collaboratively
  • Exceptional organisational and time management skills to handle multiple tasks efficiently.
  • Strong written and verbal communication skills, with an emphasis on professional etiquette.
  • Impeccable attention to detail and the ability to deliver high-quality work under pressure.
  • A proactive mindset, taking initiative to address issues and streamline processes.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with integrity.
  • Proficiency in using standard office software and tools including Agentbox CRM, Realworks, DocuSign and Microsoft Suite.
