Key Responsibilities:
Answering phone calls and managing participant and staff enquiries
Assisting with rosters, shift updates, and documentation using ShiftCare
Preparing and sending professional emails to stakeholders and team members
Supporting onboarding processes for new staff and participants
Managing intake forms, incident reports, and compliance documentation
Assisting with NDIS audits and daily office operations
Assisting with Client based Progress Reports
Updating and maintaining staff and participant records
Scheduling appointments for Management
Undertake on call 1 week per month
Skills & Experience Required:
Previous experience in an administrative or office support role, preferably in the healthcare, disability, or community services sector
Excellent written and verbal communication skills – professional phone and email etiquette is essential
Strong time management and organisational skills, with the ability to prioritise tasks and work independently
Proficiency with digital tools and systems – including Microsoft Office 365, and cloud-based platforms (e.g., ShiftCare)
Familiarity with NDIS compliance and documentation processes (highly desirable, but not essential – training provided)
Problem-solving mindset – proactive, resourceful, and calm under pressure
Discretion and confidentiality when handling sensitive information
High attention to detail when managing files, forms, and rostering updates
Ability to work collaboratively with a multidisciplinary team of case managers, Support Coordinators, Support workers, and external stakeholders
A current NDIS Worker Screening Check (or willingness to obtain one)
Desirable Qualifications:
Cert III or IV in Business Admin, Community Services, or related field
NDIS Worker Orientation Module completion
Experience using ShiftCare
Understanding of NDIS Practice Standards
Valid Australian Driver’s Licence
