Scherer Deane Audiology is a boutique hearing clinic offering personalised, evidence-based care in a calm and supportive setting. With over a decade of experience in audiology and a strong reputation for clinical excellence, we recently expanded to our beautiful new clinic in Little Mountain, QLD. We are now seeking a reliable, organised, and deeply client-focused Client Care Coordinator to join our close-knit team and become the heart of the client experience at our new location.
This is not your average admin role. As our Client Care Coordinator, you will be the first voice our clients hear and the first smile they see. You'll play a central role in creating an exceptional, reassuring, and welcoming experience for every client. From first contact to follow-up, your care and attention will shape how our clients feel about their hearing care journey.
We're looking for someone who is proactive, kind, and solutions-focused—someone who can juggle details without dropping the human touch, and who thrives in a structured, professional environment.
Key responsibilities include:
- Leading client communication across phone, email, reception, and face-to-face interactions
- Providing professional, compassionate, and solutions-oriented care throughout the entire client journey
- Managing appointment scheduling and clinic calendar
- Handling hearing aid logistics, including orders, minor repairs, and remote support via phone, email or Telecare
- Liaising clearly and professionally with audiologists, suppliers, and allied health professionals
- Supporting clinical documentation and ensuring compliance with the Hearing Services Program (HSP)
- Keeping the clinic space organised, clean, and calm at all times
- Supporting the clinical team and contributing to a positive, high-functioning workplace
Client liaison excellence expectations:
- You take full ownership of the client experience—building rapport, following up, and ensuring nothing is missed
- You communicate with warmth, clarity, and calm professionalism
- You anticipate needs, offer reassurance, and tailor your support to each person's emotional and practical concerns
- You respond to problems with grace and clarity, always focused on finding the best outcome for the client
- You consistently follow through on your word and maintain high standards of reliability and presentation
Skills and attributes required:
- Minimum 3 years of experience in administration or client-facing roles
- Certificate IV in Business Administration or similar qualification (preferred)
- Experience in medical, audiology, or allied health settings (highly regarded)
- Clear, professional communication—both written and verbal
- Strong time management skills and the ability to multitask calmly and effectively
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Highly organised, methodical, and attentive to detail
- Warm, empathetic, and composed under pressure
- Able to work independently and maintain structured daily routines
- Must have the right to work in Australia
- Experience with healthcare CRM systems (Noah preferred)
- Must be willing to undergo police check and reference checks
Training and support:

Salary and benefits:
- $55-65,000 per annum (inclusive of 11% superannuation)
