We are currently seeking an experienced, values-aligned Receptionist to join our Rockhampton Practice in a key administrative operations role. This is an opportunity to take on enhanced responsibility across service coordination, systems improvement, and operational consistency—while continuing to deliver exceptional front-of-house service.

About the Role
As a Receptionist, you will support the seamless delivery of care across multiple VHP locations, contributing to client experience, service innovation, and the coordination of clinic operations.
In addition to being hands-on in reception and client service, you'll work closely with the team to take ownership of key systems, streamline admin workflows, support junior colleagues, and help drive process improvements that reflect our best practices and core business values. You’ll work closely with our clinicians, leadership team, and client services team across Rockhampton, Yeppoon, Biloela, and outreach services, ensuring a high standard of service continuity and operational excellence.
Key Responsibilities
Provide high-level administrative coordination across bookings, waitlists, referrals, and diary management, collaborating with the broader team across all VHP sites
Maintain and troubleshoot practice management software (Nookal) including workflows, templates, billing setups, and client record integrity
Process complex transactions across multiple funding sources (e.g. NDIS, Medicare, DVA, private health), ensuring compliance and clear communication with clients
Assist with communication between client services team, clinicians, and management to support clear scheduling, room availability, and service delivery
Collaborate with the leadership team to review and improve systems, update knowledge bases, and contribute to audit readiness and service consistency
Adopt a solution-focused approach by proactively identifying and presenting resolutions alongside any challenges
Build trusted relationships with clients, families, plan managers, referrers, and partner organisations. Seeking new opportunities to build community relationships.
Participate in projects that support innovation, efficiency, or the development of new client experiences and admin processes
Promote and maintain a supportive, team-based approach that reflects VHP’s mission to build stronger, healthier communities

Who You Are
You are an experienced receptionist, with a caring, friendly and approachable nature, can display discretion and sound judgement professionally and takes initiative. You have an ability to light up the room to make a patient or team-member feel valued; has highly developed organisation and time-management practices; is a proven problem solver; and who has high developed written and verbal communication skills.
You’ll thrive in this role if you:
Have 2+ years of experience in a medical, allied health, or community-based admin/reception role in the private sector.
Are confident working across multi-site operations, with strong skills in remote communication, system consistency, and client coordination
Have advanced working knowledge of practice management platforms such as Nookal, Cliniko, or Halaxy
Understand funding streams like NDIS, Medicare, private health, and have confidence handling billing discrepancies or claim queries
Are highly organised with the ability to triage competing priorities, plan across teams, and maintain a calm, professional front
Can provide informal support or mentoring to staff without necessarily holding a formal management title
Have excellent interpersonal skills and can communicate clearly and respectfully with a wide range of people—clients, families, staff, and stakeholders
