From logistics and stylist to client communications, You'll be the most important player in coordinating the team and ensuring everything runs smoothly, helping us deliver on-time and seamless staging experiences every time.

🔥 So, what’s the gig?

As the Administration Assistant, you’ll support the Administration Manager with a wide range of essential tasks that keep the day-to-day operations running smoothly. You will:

Coordinate Teams Staging Installs, Transfers & Collections: Help align Stylist, logistics resources and truck capacity to ensure smooth transitions from one property to the next.

Communicate Terms & Conditions/Access Text Messages: Send out daily communications to ensure all parties are informed and expectations are clear.

Book Staging Projects: Assist with booking installations, ensuring stylist and logistics timings are accurate, and optimize routes for the team.

Strategize, Prepare and Finalize the Daily/Weekly Run Sheet: Assist Team Leadership in making sure the daily/weekly run sheet is prepared and ready for the team.

Collect Keys for Installations: Ensure all installations are set up by securing the necessary keys for properties.

File & Prepare staging collection Slips: Get pick slips ready for next-day collections, making sure our logistics team are set for success and bring our inventory back from projects.

Manage Damage Report: Handle both internally reported damages and damages reported by clients, ensuring proper follow-up, with the highest level of service.

Handle Incorrectly Collected Owner Property: Assist in managing and returning any incorrectly collected items that belong to owners.

Process Damaged New Inventory/Furniture Claims: Help manage new stock that has been damaged and ensure proper reporting with suppliers for credits.

Place and Manage Office Supplies: Assist in placing and managing orders for admin, styling, and logistics supplies.

Provide Day-to-Day Assistance: Support the Administration Manager with daily tasks, ensuring everything is organized and running efficiently.
