Bookish and Spice is a proud locally female founded special edition book box company, specialising in designing and curating special edition romance books and bookish merchandise (under our label Beyond the Binding). Founded in 2023, Bookish and Spice is a rapidly growing business located in Lawnton. We are a female-majority team that are focussed on creating a positive and supportive workplace.

With a full 12 month calendar of confirmed projects, events and collaborations, our Creative Director is looking for a capable and organised Personal Assistant to join our team. This newly created role is designed to take day-to-day pressure off our Creative Director so she can focus on moving the business forward and expanding into new ventures. Whilst we have recently doubled our staff levels we are still a small team, so this isn’t just an administrative role. We are looking for an individual who is adaptable and willing to take on a variety of tasks and responsibilities. If you have amazing attention to detail, are highly organised and can think on your feet, then this may be the role for you.

We’re looking for someone who:

Has at least 3 years’ experience in a similar fast paced support, administrative or assistant role

High level of computer literacy, with a understanding of computer software and systems and the ability to problem-solve within programs.

Experience in basic design programs such as InDesign, Illustrator, Photoshop are not necessary however would be advantageous

Has incredible attention to detail, shows initiative and can anticipate needs

Is highly organised, practical, flexible, down to earth, and calm under pressure

Has an eagle eye for aesthetics, listens, takes instruction well, and follows through

Is proactive, independent, and confident to complete tasks without being micro-managed, can adapt to changing priorities and stay calm when the pressure rises

Has excellent communication skills, impeccable time and project management skills to ensure projects maintain schedule

Marketing, social media content and e-commerce knowledge is not essential but would be highly considered

You require a team-work attitude no-task-too-small, whether it’s following up external stakeholders, grabbing a coffee or packing boxes when needed

An interest in books, particularly romance would be preferred

Is comfortable in handling, promoting and viewing NSFW artwork and documents

What you’ll actually do:

Coordinate our Creative Director’s daily calendar to ensure maximum efficiency

Manage Creative Director’s inbox and draft responses

Assisting Creative Director with preparation of final files for print and digital delivery (correct format, resolution etc.)

Liaise with our external stakeholders, publishers, printers, artists and keep deliverables moving

Collate reports and updates for submission to our Management team

Follow up team tasks and project timelines to keep deadlines on schedule

Assist in co-ordination of projects, product launches and retail activities

Assist Marketing Team with social media content creation (eg. Instagram posts, TikTok, Facebook reels and stories)

Book appointments, run errands, and action ad hoc tasks without hesitation

Research competitor activities, future collaboration opportunities, consumable resources for warehouse and trade show suppliers to merchandise suppliers

Attend events, networking functions and assist at trade fair exhibitions

Assist in the warehouse as necessary

What you’ll receive:

Permanent part time to full time role (3 days a week while training, then 5 days a week)

This is an inhouse position, our warehouse is located in Lawnton, QLD, there is public transport and parking available. There is potential for flexible working location and times - flexibility dependant on the Creative Director’s and business’ needs, (not your regular 9-5) travel and weekend work will be required intermittently.

Remuneration: $35-45 an hour
