About This Opportunity

As a General Services Officer, you will provide vital administrative support within the ODVCIE. This dynamic role involves managing diverse operational activities, from coordinating correspondence and financial administration to assisting with HR and IT-related tasks. You will work closely with senior officers and staff, acting as a key support figure and ensuring the smooth day-to-day functioning of the office, often stepping in to back up crucial administrative functions.

Key responsibilities will include:

Correspondence and Information Management

Assess incoming correspondence and emails, take appropriate action, and coordinate responses to administrative and other inquiries, working closely with relevant staff.

Financial and Operational Administration

Handle a variety of daily operational tasks, including financial administration like accounts payable, processing claims, and credit card reconciliations, all in line with University policy.

Daily Office Operations and Support

Manage various daily activities, such as assisting with new employee activation, asset and IT equipment management, catering, room/carpark bookings, travel requests, and event support for the ODVCIE.

Administrative Backup and Collaboration

Provide essential backup support for Academic Administration activities and the Senior Executive Assistant, contributing to seamless operations and collaborating proactively with internal and external university personnel.

About You

The successful candidate will be required to provide evidence to confirm that they are an Aboriginal and/or Torres Strait Islander person.

  • Degree/qualifications with relevant administrative experience, or an equivalent combination of experience and training. This includes demonstrated administrative skills, particularly in providing high-level executive assistance to senior staff within a large, busy workplace.
  • Sound knowledge of university structure, policies, and corporate systems (Savi, UniFi, EMS ProMaster, TRIM, Archibus), or the capacity to rapidly gain such knowledge. Requires highly developed computer skills, including proficiency with the Microsoft Office suite.
  • A proven ability to work independently and within a team, using initiative, judgment, and discretion. Excellent organizational skills are essential, with the ability to prioritize work, meet deadlines, and remain flexible and responsive to changing needs.
  • Highly developed interpersonal skills (both written and oral), with the ability to build rapport, effectively liaise with diverse groups, and work cooperatively. This includes the ability to exercise tact, discretion, and sensitivity in confidential situations, coupled with effective problem-solving skills.

You must maintain unrestricted work rights in Australia for the duration of this appointment, and may be required to complete background checks including, criminal history and education checks. Employer sponsored work rights are not available for this appointment.
