Your new role
As the Receptionist, you will be the first point of contact for clients, referral partners and visitors. You'll play a pivotal role in shaping the client experience and streamlining office operations.
Key responsibilities:
- Answer and direct incoming calls with warmth and professionalism
- Schedule, confirm and reschedule appointments using our practice management software
- Greet clients on arrival, manage visitor logs and organise refreshments
- Set up, pack down and maintain meeting rooms for internal and external events
- Monitor cleanliness of communal areas and liaise with external contractors as needed
- Order, track and replenish stationery, kitchen and printer supplies
- Operate, maintain and secure paper and electronic filing systems
- Coordinate incoming and outgoing mail, courier requests and document scanning
- Provide basic IT troubleshooting, liaising with our external IT provider
- Assist Directors, Partners, Managers and Accountants with ad hoc administrative tasks
- Support event logistics and catering arrangements for client seminars and staff workshops
- Participate in continuous improvement initiatives to refine administrative processes
- Contribute to a positive team culture by sharing insights, feedback and best practices

What you'll need to succeed
- Proven experience in a receptionist or administrative role within a professional services environment
- Proficiency in Microsoft Office (Outlook, Word, Excel) and comfort learning new software applications
- Exceptional organisational skills, with the ability to prioritise and manage multiple tasks under tight timelines
- Excellent client-service mindset, demonstrating discretion, confidentiality and tact at all times
- Strong interpersonal skills, capable of building rapport with a diverse client base and internal stakeholders
- Ability to work autonomously and collaboratively, adapting quickly to changing priorities
