Role Statement

The Outreach and Communications Coordinator plays a pivotal role in supporting John Monash Science School (JMSS) by leading the coordination, communication, and promotion of JMSS science outreach programs and events. This role assists the Director of Outreach and JMSS teams to enhance JMSS’s visibility, engagement, and partnerships with the Department of Education, local and regional schools and community stakeholders.

The Outreach and Communications Coordinator is responsible for the planning, administration and execution of programs such as the Regional Science Exchange (Rex) and other key outreach initiatives that provide unique educational opportunities for students and educators across Victoria. The role also supports the delivery of high-profile science events and exhibitions that showcase student achievement and innovation.

In addition to outreach coordination, the role coordinates the school’s marketing and communications functions in consultation with the Business Manager and the Registrar and Partnerships Manager. This includes the design of promotional materials (utilising external consultants and designers where required), coordination of website updates, social media content management, media engagement, and the production of the JMSS publications such as the newsletter, new student prospectus and student handbooks. The Outreach and Communications Coordinator will work closely with the Principal, Director of Outreach, science leadership, and relevant administrative and teaching staff to ensure consistent messaging, strong stakeholder relationships, and a high standard of public representation of the school’s programs and achievements.

This position requires a highly organised and proactive individual with outstanding communication, marketing, and interpersonal skills.

The Outreach and Communications Coordinator will be responsible for:

Outreach Responsibilities

Lead the administration and organisation of the JMSS Regional Exchange Program (REx), including liaison with participating schools, students, families, Principal Class Officers, and internal JMSS teams.

Liaise with partner schools, teachers, families, and education networks to facilitate student participation in all JMSS and outreach initiatives, ensuring smooth communication and strong relationships.

Coordinate a range of student-focused outreach initiatives in collaboration with the Director of Outreach, including Emerging Sciences Victoria (ESV) marketing initiatives, the Australian Science Fair, and the annual Science Exhibition Night.

Oversee the logistics, scheduling, and promotional aspects of Outreach programs

Coordinate the Regional Science Program and ESV websites, associated social media platforms, and the development of promotional and informational print and digital collateral.

Maintain accurate records of program participation, feedback, and outcomes to support reporting and continuous improvement.

Support the promotion of outreach initiatives through written content, visuals, and communication with the school’s communications team.

Evaluate program impact and contribute to the development of new initiatives in response to emerging opportunities or needs in the education community.

Ensure compliance with school policies and procedures, particularly regarding child safety, duty of care, and privacy requirements.

Apply design skills, including proficiency in relevant design software, to develop high-quality promotional materials, engaging external consultants and designers as needed.

General administration support to the Principal, Teaching, ES front and back-office teams

Marketing and Communications Responsibilities

In consultation with JMSS leadership, coordinate the promotion of JMSS events through the school newsletter and external media channels.

Oversee the maintenance of the JMSS website to ensure content remains current and relevant for all stakeholders.

Manage JMSS social media platforms (Facebook, Instagram, LinkedIn, YouTube) in consultation with the Business Manager and Registrar and Partnerships Manager.

Coordinate the design, production, and distribution of key JMSS publications such as the new student prospectus, student handbooks, and other promotional materials.

Curate and manage displays of student work and promotional content throughout the school, including video displays, printed materials, and digital signage.

Oversee the review, design, layout, and printing of JMSS promotional documents.

Engage external consultants, designers, or specialists as required to support the effective delivery of marketing and communications activities.

Maintain accurate records and documentation related to marketing and communications activities, including budgets, timelines, contracts, and approvals.

Undertake other duties as directed

SC5 Demonstrated capacity to support school leadership and staff through effective administration, reporting, and stakeholder engagement.


About John Monash Science School

Clayton, VIC, Australia

John Monash Science School is the first school of its kind in Victoria and one of only three such specialist science providers in Australia. Opening for the first time in 2010 with 197 Year 10 students, the school is now at capacity with 640 students from Years 10 to 12 and over 80 full and part time members of staff. Some 25 of these are Education Support staff.

The Leadership Team comprises three Principal Class Officers, nine Leading Teachers, the Business Manager and the Manager of Strategic Partnerships and Initiatives.
