Northwest Community Ministries is an established and growing Not-For-Profit, community focused business providing high quality Outside of School Hours Care in the Northwest of Sydney.
About the Role
As the Policies and Procedures Coordinator, you will play a pivotal role in supporting the compliance and operational excellence of our Outside School Hours Care (OSHC) services. In this role, you will be responsible for developing, reviewing, and auditing policies and procedures to ensure alignment with relevant legislation, regulatory frameworks, and industry best practices. You will also collaborate closely with leadership and frontline staff to communicate updates, deliver training, and ensure consistent understanding and implementation across all centres.
Key Responsibilities
· Childcare Policy Development and Maintenance:
o Developing new childcare policies and procedures based on legal requirements, best practices, and organisational needs.
o Coordinating the review, revision, and updating of existing policies and procedures.
o Ensuring childcare policies are clear, concise, and easily understood by all staff.
o Managing the childcare policy library, including version control and accessibility, updating Northwest Community Ministries Sharepoint database and centre policy folders, etc.
· Compliance and Governance:
o Ensuring childcare policies and procedures comply with relevant laws, regulations, and industry standards.
o Developing and implementing childcare strategies to promote policy compliance.
o Monitoring childcare policy implementation and identifying areas for improvement.
o Conducting audits of service locations and communicating any childcare related gaps, needs or actions to Nominated Supervisors
· Training and Communication:
o Developing and delivering training programs to educate staff on new or updated childcare policies, procedures, risk assessment development, etc.
o Providing guidance and support to staff on childcare policy-related matters.
o Communicating childcare policy changes and updates effectively to all relevant stakeholders.
· Collaboration and Stakeholder Management:
o Working closely with various departments and stakeholders to gather input on childcare policy development and implementation.
o Building relationships with internal and external partners to share best practices and ensure alignment.
o Collaborating with other departments to assist with policy development and give input from a childcare perspective when necessary.
· Maps (Supervision & Evacuation):
o Collaborating with Nominated Supervisors on updating and creating supervision and evacuation maps
o The creation of the supervision and evacuation maps for service as the need arises
· Risk Assessments:
o Training new Nominated Supervisors on risk assessments in orientation process
o Approving and assisting Nominated Supervisors in writing risk assessments
o In the event of a service without an Nominated Supervisor or when opening a new service – writing comprehensive risk assessments for that service
· Other Duties:
o Conducting research and analysis on policy-related issues.
o Preparing reports and presentations on policy-related matters.
o Assisting with other projects and tasks as assigned by management.
o Contributing to the childcare team monthly board report
Skills and Qualifications:
Strong understanding of policy development and management principles.
Excellent written and verbal communication skills.
Strong analytical and problem-solving skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Experience in Adobe Acrobat Pro and Smart Draw
Excellent organizational and time management skills.
Ability to work independently and as part of a team.
Experience in policy writing and editing.
Knowledge of relevant laws and regulations.
5 years experience as a Nominated Supervisor in Outside School Hours Care preferable.
