At WAG Therapy, we’re a private psychology clinic with a difference — therapy dogs are a vital part of how we support clients. As we have grown, we’re seeking an experienced Practice Manager to be the anchor of our team, ensuring smooth daily operations and a supportive environment for clients, clinicians, and staff alike.

This is a full-time, on-site role based in our beautiful, welcoming clinic near Strathpine Shopping Centre.

About the Role

You will be responsible for:

Overseeing day-to-day clinic operations (including managing our therapy dogs!)

Managing clinic finances, billing, and reporting

Leading recruitment, onboarding, and staff wellbeing initiatives

Providing warm, professional client support

Coordinating schedules, waitlists, and workflow systems

Managing Medicare, NDIS, WorkCover, and third-party billing processes

Maintaining compliance, client records, and data accuracy

Driving outreach efforts including GP follow-ups, mailouts, and welcome packs

Supporting marketing and content projects with enthusiasm and reliability

What You Bring

Proven experience as a Practice Manager in an allied health setting (essential)

Calm, confident leadership with emotional intelligence

Ability to balance structured systems with a fast-paced, people-focused environment

Strong team management skills and commitment to staff wellbeing

Proactive, solution-oriented mindset and excellent organisational skills

High confidentiality and professionalism

Comfortable working with dogs (no allergies or phobias)

Skills & Experience

Proficiency with Xero, Excel, Medicare, and NDIS systems

Experience with Zanda (formerly Power Diary) highly regarded

Experience managing small teams including health professionals

Excellent time management and ability to prioritize competing demands

Strong problem-solving skills and initiative
