About the role
Reporting to the Chief Information Officer, you will provide high level executive support to the CIO on deliverables across a range of strategic matters, as well as working collaboratively in a team environment. Under broad direction, the Executive Officer provides operational and professional support, and the coordination of all activities associated with the Office
Key Responsibilities
Provide high level, complex and confidential administrative support including diary management, scheduling of meetings, maintenance of files and records, handling enquiries and acting as point of contact with respect to issues associated with the OoCIO.
Ensure the efficient running of day-to-day general operations, including facilities & equipment coordination, processing payments, purchase orders and invoicing, reconciliation of credit card transactions, and coordinating travel arrangements for senior members of the Office.
Provide high level administrative advice and support to senior staff, in contributing to overall operational and/or strategic planning, financial/budget support/expenditure tracking and resource management.
Coordinate administrative actions leading to, or arising from, decisions made by Senior IT staff; develop and implement complex systems/procedures/processes.
Liaise with People & Culture, Finance and relevant university offices in relation to policies and procedures, including appointment and recruitment processes.
Provide administrative and project support to committees and working groups, including research, prepare briefing/ discussion papers, involving the OoCIO.
Undertake project work within a team structure, including coordination of expertise across the University, external engagement, managing deadlines and monitoring project resources.
Develop and maintain sound working relationships with senior management, leaders within the OoCIO, and other stakeholders both internal and external to the university.
Assist with the development and delivery of reporting for the OoCIO.
Qualifications, skills & experience
A Degree with subsequent relevant experience, or extensive experience and specialist expertise or broad knowledge in technical or administrative fields, or an equivalent combination of relevant experience and/or education/training
Ability to act with discretion and sensitivity and to maintain confidentiality.
Ability to produce clear and concise written communication with a high level of accuracy and attention to detail.
Ability to work accurately with detailed information, including data entry, maintaining spreadsheets, managing correspondence, collating data for reports, and, under direction, prepare a range of written communications.
Ability to adapt to changing work priorities, complex matters and competing timelines.
Ability to problem-solve whilst working either autonomously, collaboratively as part of a team.
Ability to exercise independent judgement and initiative to constructively solve problems and make effective decisions.
Excellent computer skills including email, internet, MS Office (incl. SharePoint, Teams), and student administration systems.
