The role
We have a wonderful opportunity for an early career practice manager or highly experienced administration assistant, to support our clinicians and our client community. Our clinic provides a range of clinical assessment and treatment services for children, adolescents & adults across the Mitchell Shire community. We are passionate about supporting the neurodivergent community and offer neuroaffirming psychology services.
Ideally, you will be seeking to work part time across 4 days per week (20-24 hours per week). Whilst an onsite presence is important, you will have the option and flexibility to work from home, up to 2 days per week.
Your main duties and responsibilities will include the following:
Responding to enquiries from potential and existing clients, via email and phone, including the provision of information regarding our range of assessment and treatment services.
Managing the intake process and appointment bookings for all new clients.
Management of the psychologists' diaries, to ensure that bookings are optimised for our team; replacing cancellations with new bookings for existing or new clients and conducting confirmation calls for all initial client appointments.
Managing relationships with our existing clients, including rescheduling/cancelling of appointments, notifying them where new or updated referrals are required, managing our client waitlist, informing them of other local services that may be helpful, and negotiating payment plans for clients in hardship.
Maintaining our relationships with local schools, NDIS service coordinators, and medical centres; liaising with our partners to coordinate onsite appointments and book new clients.
Remaining up to date with relevant administrative tasks; such as responding to emails and phone calls to our enquiries inbox within a 48 hour window (i.e. 2 business days).
Engaging in regular communication and meetings with the Lead Psychologist, and with our team of practitioners.
Working alongside our administration assistant, and providing direction on administrative tasks that they can complete to support practice management.
Completing other work tasks as directed by the Lead Psychologist/Owner.
The business
Mental Health in Mind is a small, community orientated psychology practice in the heart of Wallan, Victoria (Wallan is located approximately one hour North of Melbourne CBD, by car).
First established 9 years ago, we have now built a successful and well respected psychology practice in the local community. We have relationships with many local medical centres, schools, community organisations, and NDIS coordinators; and see a steady stream of referrals. With a growing and varied population, the people and problems we work with are also diverse. We also provide cognitive assessments, ADHD and Autism assessments. Mental Health in Mind prides itself on being a neuroaffirming organisation, and we are passionate about educating and supporting the neurodiverse community.
We work from our own building, with various consulting rooms, a large breakout area for staff, a fully stocked resource and stationery hub, and a kitchen that is regularly replenished with healthy food options for snacks and meals! And we are also located right next door to the main cafe in central Wallan, Open House Cafe.
Salary
Our practice manager role attracts an annual salary of $71,136 pro rata.
