Join the Simba team at St Ives as our Service Admin and help our centre continue to grow and thrive.
You will play a key role in offering crucial administrative support to the Service Director, Families, Children, and Educators within the Service, ensuring smooth operations and adherence to relevant standards. You will also have the opportunity to hone your sales skills to assist with managing the services waitlist and building service occupancy, helping to drive the success of the service. The position also offers continuous opportunities for professional growth and development within the organisation.
The Service
A 96-place service caring for children aged 6 weeks to 6 years, currently at 40% occupancy, offering 4 beautiful rooms: Nursery, Toddler, Junior Preschool, and Preschool.
Use the Owna platform to easily connect and communicate with families, keeping them engaged and informed every step of the way.
About the role
As the Service Administrator, you will play a pivotal role in the effective operation of the centre, providing essential administrative support to the team and ensuring a seamless experience for families. Your key responsibilities will include:
Manage family accounts, CCS queries, and financial processes (debt, refunds, accounting procedures).
Act as the first point of contact for families via phone and email, delivering exceptional service.
Support compliance documentation, audits, checklists, and maintain all required records to meet national regulations.
Oversee the waitlist and communicate with families about future enrolments, helping drive occupancy and maintain positive relationships.
Assist in organising service events and supporting local marketing initiatives.
Provide high-level admin support to the Service Director and leadership team.
About you
Minimum 12 months of experience in a similar administrative or service-based role.
Previous sales experience (highly regarded).
Relevant qualification in Early Childhood Education (desirable).
Current First Aid Certificate including CPR, Asthma, and Anaphylaxis.
Current Paid Working with Children Check (WWCC).
National Police Check (obtained within the last 6 months) or willingness to obtain.
Strong written and verbal communication skills.
Knowledge of the EYLF and NQS; familiarity with Reggio Emilia philosophy is a bonus but not essential.
Experience with the Assessment and Rating process is an advantage.
Passionate advocate for children, with a warm and collaborative approach.
Positive, proactive, and able to build strong relationships with families and the team.
