Job Description:
This position is an Identified Role open to Aboriginal and/or Torres Strait Islander applicants only.
The Medical Receptionist & Administrative Support is a key frontline role responsible for delivering high-quality reception services and providing administrative support across the health service, including the GP Clinic, Nursing, Allied Health, and Health Programs teams. The role supports the effective day-to-day operations of IAMS and ensures a culturally safe, welcoming environment for clients and community members.
Key Responsibilities:
Reception Duties:
Provide culturally safe, professional reception services to clients, visitors, and staff
Manage phone enquiries, appointment bookings, and client check-in/check-out
Ensure the reception area is welcoming, tidy, and culturally appropriate
Maintain strict client confidentiality and uphold privacy standards
Administrative Support:
Provide administrative support to clinical and health programs teams
Perform data entry, filing, scanning, and records management
Assist with appointment reminders, recalls, and follow-up communication with clients
Support billing processes, including Medicare and other funding claims
Provide general administrative assistance, including document preparation and program coordination support
Teamwork & Cultural Leadership:
Work collaboratively with all members of the IAMS health team
Provide cultural insight and support in service delivery to enhance community engagement
Participate in staff meetings, training, and continuous improvement initiatives
Key Selection Criteria:
Identify as Aboriginal and/or Torres Strait Islander*
Experience in medical reception, administration, or customer service (health sector experience preferred)
Strong interpersonal and communication skills with a community-focused approach
Understanding of confidentiality, privacy, and cultural safety within a health service
Good organisational skills and ability to manage competing tasks
Proficiency with Microsoft Office and willingness to learn clinical software (Communicare experience desirable)
Ability to work collaboratively within a multidisciplinary team environment
Desirable:
Experience in Medicare billing, MBS claiming, or appointment management
Certificate III or IV in Business Administration (Medical), Health Administration, or equivalent
Knowledge of or experience working within an Aboriginal Community Controlled Health Organisation
About Illawarra Aboriginal Medical Service
History of the Illawarra Aboriginal Medical Service Aboriginal and Torres Strait Islander Corporation (IAMS)
It all began in 1983 in a small tent at Coomaditchie, operating as a branch of the Far South Coast Aboriginal Service – Nowra. This initial service provided the local community with a doctor one day a week, through an arrangement with Redfern Aboriginal Medical Service.
In June 1984 the IAMS was incorporated, and with this came the first success in obtaining funding grants. The Service moved to a small house in Church Street, Wollongong, and despite a few set backs and financial challenges, by June 1986 it was able to purchase essential equipment, and employ a receptionist, an administrator, and a doctor five days a week.
In 1987 the IAMS gained financial assistance from NSW Health Department, and with the assistance of further grants, was able to supply a dental service two days a week, as well as employ a Drug and Alcohol Worker, Public Health Worker, and Assistant.
This expansion meant the Service was fast outgrowing its premises. Numerous applications for funding to purchase new premises were submitted, with no success, until 1994, when a grant was finally obtained from the Aboriginal and Torres Strait Islander Commission. This grant enabled the purchase of the block of land next door to the Church Street premises, and the construction of a new, purpose-built facility, at the cost of $1.8 million.
