Position Overview
We are seeking a proactive and reliable Medical Receptionist to join our dynamic team on a full-time basis. This role involves sharing responsibilities with a part time receptionist, providing flexibility within our operating hours of Monday to Friday, 8:00 AM – 6:00 PM. It's ideal for individuals with prior experience in medical or allied health settings who are passionate about delivering outstanding administrative support and patient service.
Key Responsibilities
Manage patient appointments, confirmations, and follow-ups using our database system.
Coordinate diaries for practitioners and ensure efficient scheduling.
Handle incoming calls, emails, and in-person inquiries with professionalism and empathy.
Maintain accurate and confidential patient records and files.
Liaise with healthcare providers, insurers, and other stakeholders as needed.
Process billing and payments through HICAPS, EFTPOS, Medicare and WorkCover.
Oversee invoicing, debt collection, and financial record-keeping.
Prepare and manage documentation for Workers Compensation, Third Party, and NDIS claims.
Monitor and order medical and office supplies to maintain stock levels.
Ensure the reception area and treatment rooms is tidy and welcoming at all times.
Provide administrative support to the clinical team as required.
Desirable Criteria
Previous experience in a medical or allied health reception role.
Familiarity with medical Practice Management Software, Medicare, Compensation Claims and Private Health Fund billing
Essential Criteria
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Strong communication skills, both verbal and written.
Excellent organisational abilities and attention to detail.
Ability to multitask and prioritise in a fast-paced environment.
Professional demeanor and personal presentation.
Experience with office equipment and technology.
Capacity to work independently and as part of a team.
Commitment to providing high-quality customer service.
