We are seeking an experienced and highly reliable legal assistant, capable of performing an executive PA role to provide direct support to the senior Partners of a busy class action practice. The ideal candidate will take initiative, manage a demanding diary, process time records, prepare client billing, and handle confidential correspondence with discretion and professionalism. This role requires someone who is organised, proactive, and capable of working independently to support the efficient operation of the practice, particularly in assisting with the supervision of lawyers and paralegals.
This position is ideal for a career legal support professional who thrives in a structured, fast-paced environment and values confidentiality and trust. This role can be full-time, part-time, or within school hours for the right candidate, provided you can support daily workflow and triage enquiries from the legal team. Job Tasks and Responsibilities:
Provide administrative support to two Partners in Class Actions.
File and prepare court documents across all Australian jurisdictions.
Compile briefs, letters, and draft correspondence.
Manage diaries, emails, and tasks.
Arrange meetings and appointments.
Develop and maintain billing and invoicing systems.
Maintain the practice management system.
Monitor critical dates to ensure deadlines are met.
Handle telephone inquiries and requests from clients.
Maintain data records and generate reports.
Open and close files.
Skills and Experience:
At least 2 years of legal support experience in litigation is preferred.
Experience in preparing and filing court documents in Supreme and Federal Courts.
Experience in Class Actions is highly regarded.
Confident and personable with a genuine interest in Class Actions.
Excellent interpersonal, organisational, planning, verbal, and written communication skills.
Ability to develop strong relationships both internally and externally at all levels.
High level of professionalism and exceptional client service skills, with the ability to handle sensitive/confidential information with appropriate care.
Well-organised, consistently completing tasks on time with great attention to detail.
Excellent time management and multitasking/prioritisation abilities.
Technology-savvy and proficient in all Microsoft Office applications.
