The Victorian Tertiary Admission Centre Limited (VTAC) empowers, connects, and supports learners and providers to enable transparent and inclusive access to education. We aim to be a contemporary organisation that creates and delivers value for our stakeholders.

We act as a bridge between prospective students and Victorian universities, TAFE institutes and independent tertiary colleges. Each year we process around 83,000 applications for tertiary courses and issue a similar number of offers throughout the year on behalf of institutions. This includes the provision of information and enquiry services to applicants and schools.

VTAC also conducts the annual scaling of VCE results and the calculation of the Australian Tertiary Admission Rank (ATAR), including arrangements for International Baccalaureate students and interstate students.

Our Marketing and Communications department promotes VTAC to students, parents and schools through targeted communications, marketing, and engagement activity. It advises on application procedures, tertiary entrance, and course requirements, and provides stakeholder engagement, events, and customer advisory services.

The VTAC Connect team provides the first point of contact for all enquiries on a broad range of matters relating to tertiary admission and the various services offered at VTAC to applicants and their influencers.

About the role

Reporting to the Operations Coordinator, a typical week may include any or all of the following:

Providing high levels of customer service to internal and external stakeholders.

Attending to general customer queries swiftly and accurately as per best practice standards, and policies.

Processing applications, ensuring documentation is received, verified, and circulated accurately.

Streamlining the application materials to ensure appropriate documentation is circulated to institutions.

Attending to the necessary application modifications and escalating any complexities.

Accurately using the existing record management systems to maintain records, manage documentation and coordinate workflow.

Participating in continuous improvement of processes.

Other reasonable duties as required.

About you

To be successful in this role you will be digitally savvy and thrive in managing shifting priorities in a dynamic environment. You will have these qualifications, skills and knowledge:

A diploma level or tertiary level (partial or complete) qualification in a relevant field, or equivalent relevant experience.

Demonstrated experience in providing high levels of customer service in a busy office environment.

Strong administrative skills.

Ability to interpret policies, systems and processes and apply them appropriately.

Excellent written and verbal communication skills with a diversity of stakeholders.

Ability to manage and complete multiple tasks on time with excellent attention to detail and accuracy.

Ability to work as an effective team member and to exercise independence, judgement, and initiative.

Good computer literacy, including the ability to learn and adopt new software packages as required.

Strong ability to maintain confidentiality.

A Working With Childrens Check will be required by the successful applicant.

Desirable, but not essential:

Experience working in the university/education sector

CRM experience, ideally in Microsoft Dynamics
