The Institute of Public Administration Australia South Australian division (IPAA SA)

About the Role
We’re looking for a confident, proactive and highly organised Professional Development Coordinator to take full ownership of the delivery of our training programs, from scheduling and communication to room setup and clean-up.
This is a critical hands-on role that requires someone who’s comfortable coordinating with facilitators and executives one moment, then answering phones, printing certificates, cleaning down tables, and stacking the dishwasher the next. You’ll be the go-to person for anything related to course delivery and participant experience, and that means you’ll be across every detail, big or small.
You’ll also work closely with our team to develop new course ideas, contribute to in-agency proposals, and help evolve our programs to meet the needs of the sector.
No task is beneath you. No detail escapes you. And no one has to chase you, you get things done!
What You'll Be Doing
End-to-end ownership of public and in-agency program delivery
First point of contact for facilitators, clients and internal teams
Managing registrations, transfers, participant communications, and course logistics
Monitoring and responding to multiple shared email inboxes
Answering incoming calls and providing helpful, professional responses
Ordering, preparing and printing workbooks, signage, certificates and materials
Booking catering and venues, setting up and packing down training rooms
Cleaning tables, restocking supplies, stacking the dishwasher, and keeping shared spaces tidy before and after sessions
Supporting virtual delivery via WebEx or MS Teams
Assisting in the development of new course ideas and in-agency training proposals
Contributing to continuous improvement of the participant and facilitator experience
Jumping in across events, membership and team priorities as needed
What You’ll Bring
Experience coordinating training, programs or events in a busy, client-facing environment
Strong organisational skills and attention to detail
Professional communication skills, in person, over the phone, and in writing
A “no job too small” mindset, willing to do the important and the unglamorous
Confidence with Microsoft 365 and virtual delivery tools
A helpful, calm and solutions-focused attitude, even when things get messy
The ability to juggle multiple tasks and still spot the typo or missing certificate
A sense of pride in your work, your space, and your team
Why Join IPAA SA?
We’re a tight-knit team delivering high-quality training and events for South Australia’s public sector. We value collaboration, ownership, and doing the job properly, from answering the phone with warmth, to ensuring every delegate feels welcome, to wiping down the kitchen bench after a full-day workshop. If that sounds like your kind of work ethic, you’ll thrive here.
Applications Close: Wednesday 24 July 2025
We’ll be reviewing and interviewing candidates as applications are received, so don’t wait to apply.
Send your CV and cover letter to: The Operations Director: [email protected]
Kindly note: We are managing this recruitment internally and are not seeking agency support at this time. Thank you for your understanding.
