Youth Inc. is looking for a Facilities Administration Coordinator who brings strong administrative and coordination skills to ensure our learning spaces and school operations are functional, safe, and well-organised. This role offers the perfect mix of office-based admin, supplier coordination, and hands-on site support — from setting up spaces and managing maintenance schedules to supporting events, onboarding new team members, and assisting with reception and student services as needed.
Based in the Adelaide CBD with a student cohort of around 80–150, Youth Inc. offers a unique school environment without the complexity of managing large campuses, outdoor grounds, or multiple sites — allowing you to focus on what matters most.

Key Responsibilities:
In this varied role, no two days will look the same — but your focus will always be on creating a safe, smooth-running and welcoming environment.
Admin, IT & People Support:
- Provide general administrative support to the operations team, including scheduling, data entry, and document coordination.
- Assist with onboarding new staff and students by setting up workstations, issuing equipment, and delivering basic IT inductions.
- Provide reception and front-desk support (shared role), including greeting visitors and managing general enquiries.
- Support events and school activities through logistics, space setup, and administrative coordination.
Facilities & Site Operations:
- Coordinate day-to-day operations of the campus to ensure a clean, safe, and well-maintained environment.
- Manage repairs, maintenance, security, cleaning services, and minor improvement projects.
- Maintain equipment, assets, and service agreements, ensuring all records are accurate and up to date.
Contractor & Procurement Management:
- Source quotes, purchase supplies, and schedule contractors to complete work safely and efficiently.
- Ensure compliance with procurement procedures and follow-up on service delivery.
Workplace Health & Safety:
- Identify hazards, report incidents, and support a proactive WHS culture.
- Monitor compliance with safety protocols and contribute to risk mitigation initiatives.

To be successful in this role you will have:
- At least 3 – 5 years’ experience in facilities, buildings or site management, ideally in education, not-for-profit, or SME businesses.
- Strong organisational and administrative skills with the ability to manage multiple high priority tasks simultaneously.
- Proven experience in organising and coordinating external suppliers, contractors and maintenance.
- Strong capability in coordinating and setting up general IT requirements and system access, including managing asset registers, logging maintenance requirements and communicating with suppliers.
- Experience managing risk, safety checks, reporting and ensuring a safe environment for workers and students.
