Willoughby City Council is seeking a capable and customer-focused Councillor Enquiries Officer to be the first point of contact for Councillor enquiries. You’ll support councillors by ensuring requests are managed efficiently and professionally, while working across the organisation to enable smooth and well-documented interactions. This role suits someone who is organised, responsive, and confident in politically sensitive environments.

About the Role
As a Councillor Enquiries Officer, you will:
Evaluate Councillor enquiries to determine the best course of action for timely resolution
Provide prompt, efficient, and high-quality customer service to all Councillors
Manage enquiries at the first point of contact to minimise impact on other parts of the organisation
Proactively liaise with Councillors to identify and address potential issues
Ensure all documentation, correspondence, and tasks meet high customer service standards, supporting accountability and transparency
Contribute to the development and ongoing improvement of a new Councillor Enquiries system
Develop and maintain a Councillor Operations Manual to guide daily interactions between Councillors and Council staff
Keep accurate records and provide reports on enquiry metrics to drive process improvements.
What You’ll Bring
Relevant tertiary qualifications or significant experience in business administration within a complex, political environment.
Knowledge or experience in Local or State Government or similar organisations
Strong administrative skills including records management, data entry, and documentation
Strong proficiency in Microsoft Office (Word, Excel, Outlook)
Well-developed communication and interpersonal skills
Experience in analysing data and contributing to business and process improvements
Ability to maintain confidentiality and manage sensitive information
Highly organised, team-oriented, and customer-focused
Flexible approach to working hours and changing priorities
Desirable
• Experience using Technology One
